Role Overview
We are currently seeking an Executive Secretary to join our team at InterContinental Doha The City. This role requires a driven and talented individual who blends essential skills with natural hospitality. The ideal candidate has previous experience in hotel operations, demonstrated success in high-level administrative assistance, and the ability to interact with guests and stakeholders professionally, graciously, and discreetly even in high-pressure situations. Exceptional interpersonal and communication capabilities are essential, reflecting the standards expected at the General Manager’s office.
Key Responsibilities
- Organize and manage the General Manager’s schedule, meetings, travel plans, and priorities daily.
- Draft and prepare official correspondence, reports, presentations, and meeting minutes.
- Facilitate communication between the Executive Office and hotel departments.
- Handle confidential documents and information with the utmost discretion.
- Welcome VIP guests and coordinate their special requirements with appropriate departments.
- Assist with guest correspondence, feedback, and other communications from the Executive Office.
- Process purchase requests, invoices, expense claims, and maintain office inventory.
- Arrange business travel, organize events, and coordinate Executive Committee meetings.
- Maintain organized filing systems and ensure full compliance with IHG policies and procedures.
- Provide general administrative support to the General Manager as needed.
Candidate Requirements
- A bachelor’s degree is mandatory.
- Between three to five years’ experience as an Executive Secretary, Executive Assistant, or in an equivalent administrative position.
- Proficient in Microsoft Office suite, including Outlook, Word, Excel, and PowerPoint, as well as document and data management systems.
- Outstanding organizational abilities, adept multitasker with excellent time management, keen attention to detail, and the capacity to handle sensitive information confidentially.
- Strong follow-up skills with the ability to juggle multiple priorities and projects simultaneously.
- Prior experience working with IHG Hotels & Resorts or other reputable international luxury hospitality groups is preferred.
