Role Overview
The Executive Office Assistant position is a full-time, on-location role based in Harare. This key support role entails assisting senior management by managing schedules, organizing meetings, arranging travel plans, and preparing executive documents, reports, and presentations. Responsibilities include handling incoming communications such as phone calls and correspondence, keeping office records, and maintaining organized files and databases aligned with company protocols. Daily activities involve operating and servicing office equipment, requisitioning office supplies, and coordinating communications between internal teams and external contacts to ensure smooth workflow. The role demands professionalism, confidentiality, and meticulous attention to detail in a dynamic workplace.
Qualifications and Skills
- Strong administrative capabilities including scheduling, filing, and managing documents.
- Effective communication skills and professional phone manners for interactions with executives, clients, and partners.
- Proficiency in operating standard office equipment and using office software such as word processors, spreadsheets, and email applications.
- Demonstrated organizational and time management skills to prioritize work and meet deadlines.
- High integrity, confidentiality, and discretion in handling sensitive data.
- Previous experience as an executive or office assistant is preferred.
- Certifications or diplomas in administration, business, or related fields are advantageous.
