About the Role

We are looking for a polished and proactive Executive Assistant & Office Manager to deliver high-level support to the Senior Managing Director and ensure the smooth, professional operation of our Auckland office. This fully onsite position is based in Auckland CBD and combines executive assistance, front-of-house management, event coordination, onboarding, supplier management, health and safety, and administrative tasks.

Key Responsibilities

  • Provide comprehensive executive support to the Senior Managing Director by managing priorities, communications, meetings, and daily needs with discretion and professionalism.
  • Oversee the daily management of the Auckland office's front-of-house experience, maintaining a clean, professional, safe, and welcoming environment for clients and staff.
  • Plan, set up, and host various client-facing and internal events including research sessions, networking events, pitch presentations, negotiation meetings, and training sessions.
  • Manage meeting room arrangements and office layouts, ensuring appropriate furniture configurations, presentation setups, and supporting an open-plan workspace.
  • Assist with onboarding processes for new Auckland-based and national employees, including health and safety briefings, office access management, providing business cards, and coordinating corporate headshots.
  • Lead internal office communications, handle supplier relationships, process invoices, and support financial administration locally and nationally.
  • Maintain office and kitchen supplies, coordinate courier services, and contribute to the overall daily office operations.

Candidate Profile

  • Minimum of three years' experience in office management, executive assistance, team administration, or workplace coordination.
  • Experience within corporate, professional services, commercial real estate, or client-facing sectors is highly desirable.
  • Ability to support senior executives with discretion, initiative, sound judgment, and professionalism.
  • Proven track record in managing front-of-house presentation, supplier coordination, facility management, and daily workplace operations.
  • Strong skills in coordinating meetings, client events, presentations, and office functions.
  • Excellent oral and written communication skills coupled with meticulous attention to detail and a customer-centric approach.
  • Highly organized and proactive, capable of managing multiple priorities spanning executive support, office operations, event coordination, onboarding, and administration.
  • Comfortable with health and safety protocols, office inductions, and fire warden duties.
