About the Company

Shilpa Alloys Private Limited is a small to medium business operating in the manufacturing sector with a B2B business model. It is a product-based company currently bootstrapped and looking for a highly capable Executive Assistant to support the Director.

Job Overview

The role demands a proactive and well-organized Executive Assistant to collaborate closely with the Director on executive support, networking, communications, event management, and administrative tasks. Prior experience within business chambers, industry associations, or networking bodies such as FICCI, CII, IACC, TiE, EO, or Round Table is highly favored.

This position necessitates engaging with key business stakeholders, including CXOs and senior government officials.

Key Responsibilities

  • Efficiently manage the Director's schedule including meetings and appointments.
  • Prepare comprehensive briefs and diligently track follow-up actions to closure.
  • Organize travel arrangements and handle logistical needs.
  • Manage sensitive information with utmost confidentiality.
  • Sustain and nurture relationships with community members and stakeholders.
  • Support initiatives for community involvement and expansion of membership.
  • Maintain accurate databases of contacts and members.
  • Collaborate with chambers, associations, and business networks to facilitate interactions.
  • Arrange and oversee meetings, networking events, and conferences, managing invitations, guest lists, vendors, and all logistics.
  • Coordinate activities related to VIPs and key stakeholders during events and manage post-event follow-up communications.
  • Oversee the Director's emails, ensuring prioritization and timely replies.
  • Compose professional correspondence and manage LinkedIn or similar professional social media channels.
  • Monitor bill and invoice reception, approval workflows, and payment tracking.
  • Engage with Accounts and vendor services to manage administrative financial tasks.
  • Develop basic research notes, maintain management information systems (MIS), and monitor pending issues requiring attention.
  • Leverage AI technologies for research, drafting documents, summarization, and productivity enhancement.
  • Stay informed about cutting-edge tools to improve the operational efficiency of the Director's office.

Desired Profile

  • Between 3 to 7 years of relevant professional experience.
  • Background in community development, business networking, or roles within chambers and industry associations preferred.
  • Exceptional communication skills in English, both verbal and written.
  • Strong organizational capabilities paired with diligent follow-up skills.
  • Comfort and professionalism when engaging with senior executives and government representatives.
  • Proficiency in Microsoft Office suite, Excel, and Google Sheets.
  • Basic knowledge of processing bills, invoices, and payment procedures.
  • Highly professional, presentable, dependable, and trustworthy demeanor.
  • Eager and quick to learn with a predilection for adopting AI and new technological tools.
  • Demonstrated discretion, ownership, and high-level confidentiality.
