Your duties include managing all MICE and catering administration in coordination with clients and relevant departments, preparing Banquet Event Orders (BEOs) and group summaries well in advance, and maintaining timely communication to ensure event logistics are streamlined.

Additional responsibilities involve:

  • Arranging group check-ins with the Front Office Manager.
  • Conducting pre- and post-event briefings and communicating feedback to improve operations.
  • Reviewing daily Food & Beverage and conference charges to ensure consistency with BEOs.
  • Collaborating with the Director of Food & Beverage and Executive Chef on customized menu preparations that attract clientele and ensure profitability.
  • Participating in weekly BEO meetings with related department heads to finalize event details.
  • Proactively identifying cyclical event opportunities and planning accordingly.
  • Responding accurately to proposals within 24 hours and following up on leads within 48 hours to uphold high service standards.
  • Ensuring smooth handover of client event requirements from Sales to Operations teams.
  • Training, coaching, and maintaining a high level of service among your team.
  • Maintaining all resort records, departmental forms, and policies, and continually enhancing administrative procedures.
  • Managing function sheet folders, monitoring menu updates, and adapting flexibly to any client-initiated changes.
  • Confirming event details daily with conference organizers and ensuring swift responses to client requests to maximize satisfaction.
  • Handling coordination with engineering, external vendors, entertainers, florists, audiovisual teams, freight arrangements, storage, and restaurant bookings as required.
  • Ensuring guest satisfaction, managing complaints, and fostering exceptional guest relationships.
  • Upholding punctuality and a professional appearance while wearing the appropriate uniform and name badge.
