Role Overview
We are seeking a dynamic Events Administrator to join our team based at a client site in Auckland CBD. Reporting to the Service Delivery Manager, this role involves supporting the planning, coordination, and execution of corporate events, leadership meetings, employee engagement activities, and customer functions. Duties include managing event logistics, coordinating stakeholder relationships, administering event-related finances, and overseeing concierge operations. You will also lead a small onsite team and drive continuous improvements to enhance the workplace experience.
Key Responsibilities
- Coordinate event bookings, manage schedules and calendars across various locations.
- Assist in organizing and delivering corporate events, meetings, training, and engagement activities.
- Lead and support the Events Coordinator, Auckland Concierge, and Barista teams.
- Handle attendee registrations, invitations, and communications for events.
- Organize venue setups, catering services, audio-visual requirements, and other event logistics.
- Develop and nurture strong relationships with internal stakeholders, suppliers, and service providers.
- Process purchase orders, invoices, and conduct financial administration related to events.
- Prepare performance reports and participate in initiatives aimed at continuous workplace improvement.
- Ensure compliance with health, safety, and other regulatory standards for all event activities.
- Provide operational support and act as backup for the Operations Manager as needed.

- Highly organized and proactive, capable of managing multiple priorities in a fast-moving environment.

Essential Skills and Experience
- Minimum of two years' experience in events administration, hospitality, workplace services, customer service, or general administration.
- Proven ability to manage multiple events and logistical requirements concurrently.
- Excellent stakeholder management and relationship-building capabilities.
- Strong organizational skills with a high degree of precision and accuracy.
- Experience collaborating with suppliers, contractors, and service vendors.
- Proficiency in Microsoft Office suite, including Outlook, Word, Excel, PowerPoint, and Teams at an intermediate to advanced level.
- Experience with purchase order processing, invoice handling, and related administrative tasks.
- Ability to work independently, troubleshoot issues, and maintain calm under pressure.
- Familiarity with workplace health and safety standards pertinent to the events environment.
Additional Information
This is a full-time, permanent role requiring 40 hours per week, Monday through Friday. The position is based onsite in Auckland CBD.
