Job Responsibilities

  • Manage and maintain a data distribution system and schedule tailored to client, project, and supplier requirements.
  • Adjust systems or timelines as necessary to guarantee timely document approvals and distribution.
  • Ensure prompt completion of document updates to meet established deadlines.
  • Collaborate with stakeholders to facilitate editing, review, and proofreading according to project requirements.
  • Track and keep detailed records of documents throughout all stages of their lifecycle.
  • Follow standardized procedures while applying discretion to meet project goals.
  • Update and maintain accuracy and accessibility within document tracking and production systems.
  • Prepare and maintain a centralized document control repository encompassing drawings, specifications, and correspondence.
  • Produce and distribute copies of documents and drawings for production teams and staff members.
  • Verify that all finalized documents are approved by authorized personnel prior to distribution.
  • Distribute documents to designated individuals following established protocols.
  • Adhere to company quality assurance guidelines and documentation standards.
  • Manage document version control and revision history to ensure current versions are utilized across departments.
  • Oversee archival and retention processes compliant with company policies and regulatory requirements.
  • Offer support and guidance to team members regarding document control processes and system operations.

Required Qualifications

  • Diploma or equivalent education; associate degree in business administration, records management, or related fields preferred.
  • A minimum of 2 years' experience in document control, records management, or related administrative roles.
  • Proficiency in document management systems and database software.
  • Strong organizational skills with the ability to multitask and meet strict deadlines.
  • Exceptional accuracy and attention to detail in tracking and distributing documents.
  • In-depth understanding of document control, versioning, and revision management procedures.
  • Familiarity with quality assurance standards and compliance requirements.
  • Capability to maintain confidentiality and appropriately handle sensitive information.
  • Effective written and verbal communication skills.
  • Ability to collaborate with diverse teams and provide knowledgeable guidance to peers.

Preferred Qualifications

  • Bachelor's degree in business administration, information management, or related discipline.
  • Experience working with enterprise document management systems or similar platforms.
  • Understanding of regulatory compliance and document retention standards.
  • Certification in records management or document control.
  • Background in manufacturing, engineering, or construction sectors.
  • Proficiency with Microsoft Office Suite and database applications.
  • Experience establishing and maintaining centralized filing and archival systems.
