About the Role

As a Document Controller, you will be instrumental in managing the distribution, tracking, and control of project-related documents for engineering, construction, and project management functions.
Key Duties and Responsibilities
- Carry out document control tasks aligned with project guidelines and procedures.
- Manage the exchange of documentation between project teams, clients, suppliers, and stakeholders.
- Oversee the review, approval, dissemination, and closure of project documents.
- Ensure compliance with document numbering, revision tracking, approval standards, and distribution protocols.
- Register, monitor, and distribute incoming and outgoing documents accurately.
- Maintain comprehensive document registers, correspondence logs, transmittals, and related reports.
- Utilize Electronic Document Management Systems (EDMS) to organize and archive documents.
- Track review cycles and prompt timely approvals and releases.
- Accelerate processing of pending signatures, approvals, and supplier documents to keep projects on schedule.
- Maintain controlled distribution systems consistent with client and project requirements.
- Ensure authorized personnel have access to current approved documents.
- Archive superseded documents correctly and keep detailed revision histories.
- Digitize and classify documents for efficient retrieval and storage.
- Perform quality assurance checks on documentation to ensure accuracy and completeness.
- Generate periodic status reports highlighting overdue or pending documents.
- Provide document retrieval and status assistance to engineering and construction teams.
- Uphold strict confidentiality and manage access control of project documents.
- Support junior staff by guiding implementation of document control procedures.
- Prepare and maintain audit-ready documentation for project reviews.
- Assist in project closeout by organizing document archives and handover files.
- Perform affiliated administrative duties when necessary.
- Adapt to varied tasks while collaborating effectively within teams and managing deadlines.
Mandatory Qualifications and Experience
- Completion of High School or an equivalent level of education.
- At least 4 years of relevant experience, with minimum 3 years specifically in document control.
- Proven experience in engineering, construction, infrastructure, or project-driven environments.
- Practical knowledge of formal document control workflows and industry standards.
- Proficiency using EDMS tools for document registration, tracking, distribution, and archival.
- Experience maintaining key document control records including registers, transmittals, correspondence logs, revision and distribution matrices, and approval workflows.
- Understanding of document numbering, revision monitoring, status codes, and authorized distribution norms.
- Capability to monitor document processes and follow up promptly on pending approvals.
- Strong command of Microsoft Office suite including Word, Excel, PowerPoint, and Outlook.
- Excellent organizational skills, attention to detail, and time management.
- Solid communication skills, both verbal and written.
- Effective interpersonal skills for coordinating with multidisciplinary teams and management.
- Ability to juggle multiple priorities and deadlines efficiently.
- Independent work capability as well as teamwork aptitude.
Preferred Skills and Experiences
- Background supporting significant infrastructure, engineering, construction, or program management projects.
- Familiarity with platforms like Oracle Aconex, Autodesk Construction Cloud (ACC), SharePoint, or equivalent document management systems.
- Experience handling technical documentation such as drawings, submittals, RFIs, specifications, reports, and supplier files.
- Exposure to project management consultancy, delivery partners, EPC contractors, or client-side project operations.
- Knowledge of document control across all project phases from design to closeout.
- Familiarity with audit processes related to project documentation.
- Experience in document retention, archiving, and smooth project handover.
- Ability to mentor and provide guidance to junior document control staff.
- Customer-service oriented approach supporting project teams and external stakeholders.
- Skill in identifying document management challenges and improving workflows.
- Commitment to confidentiality, quality standards, and ongoing process improvement.
