Role Overview
As a Document Controller and Project Coordinator, you will serve as the central hub for managing project documentation and tender submissions across airport-related projects, spanning from the bidding phase through delivery and final as-built documentation handover.
Key Responsibilities
- Manage and maintain the document management systems (e.g., SharePoint, Aconex, or client-approved EDMS), ensuring well-organized structure, proper permissions, and adherence to naming and numbering standards.
- Keep comprehensive master document registers with strict oversight on document revisions and statuses.
- Oversee issuance and logging of transmittals, track submittals, requests for information (RFIs), change notices, and actively follow up on overdue items.
- Compile and align deliverables to meet specific client documentation standards, including method statements, inspection test plans (ITPs), test reports, operation and maintenance (O&M) manuals, and as-built documents.
- Prepare tender and prequalification documentation packs, incorporating compliance matrices.
- Maintain ISO 9001:2015 controlled document sets related to project functions.
- Assist project managers by supporting schedules (using MS Project or Primavera P6), recording meeting minutes, managing action and risk registers, and contributing to weekly progress updates.
- Coordinate site access protocols, including security passes and airside permits for engineers and original equipment manufacturer (OEM) partners.
Candidate Requirements
- 3 to 5 years of experience in document control and/or project coordination, with at least two years in aviation, infrastructure, or systems integration sectors.
- Practical experience with electronic document management systems and rigorous document revision control.
- Advanced proficiency in Microsoft Excel, with strong skills in Word and PowerPoint formatting conforming to corporate standards.
- Familiarity with project scheduling tools such as MS Project or Primavera P6.
- Excellent written English ability appropriate for client-facing communications and formal tender documentation.
- Residing in Qatar with a transferable Residence Permit and No Objection Certificate, or ready to relocate on short notice.
Additional Advantages
- Experience with airport or ELV/ICT projects involving systems such as AODB, FIDS, BHS, CCTV, or access control.
- Knowledge of GCC tendering procedures and use of e-procurement platforms.
- Training in ISO 9001 internal auditing.
- Certifications such as CAPM or PMP.
- Arabic language skills.
