Role Summary
The Document Controller will oversee the management and organization of all project documentation, ensuring documents are handled in line with client, project, supplier, and company standards. This role is key to maintaining document accuracy, confidentiality, timely revisions, approvals, and distribution while supporting various stakeholders.
Core Responsibilities
- Develop and maintain efficient document control systems for project-related files.
- Manage document distribution according to specified schedules and project requirements.
- Coordinate document submission, review, approval, and revisions ensuring deadlines are met.
- Track document statuses and ensure timely updates and approvals.
- Collaborate with project teams, engineers, consultants, clients, and suppliers for accurate document revisions and reviews.
- Maintain detailed document registers, logs, transmittals, revision histories, and tracking records.
- Ensure proper identification, numbering, dating, revising, and filing of documents per procedures.
- Manage electronic and physical filing for easy record retrieval.
- Prepare and distribute drawings, specifications, reports, correspondence, and forms to authorized personnel.
- Verify documents are reviewed and approved before distribution.
- Control outdated documents and maintain availability of only current approved versions.
- Apply standardized document control protocols and adapt to project-specific needs.
- Support project teams with accurate documentation and status updates throughout project lifecycle.
- Ensure adherence to company policies, quality standards, and client requirements.
- Assist in audits by providing required documentation and reports.
- Maintain confidentiality and secure handling of company and project documents.
Qualifications and Skills
- Diploma or bachelor’s degree in Business Administration, Engineering, Information Management, or related discipline.
- Prior experience in document control, project administration, or comparable position.
- Solid understanding of document management principles, including revision control, registers, transmittals, and approval workflows.
- Proficient with Microsoft Office tools, especially Excel, Word, and Outlook.
- Experience with document management platforms like Aconex, SharePoint, EDMS, or Procore is advantageous.
- Excellent organizational abilities and time management skills.
- Strong attention to detail ensuring accuracy in documentation.
- Effective written and verbal communication capabilities.
- Capacity to coordinate across multiple departments and external stakeholders.
- Ability to manage competing priorities and meet tight deadlines efficiently.
