Overview
As a Dispatch Supervisor based in Pandesara, Surat, Gujarat, you are responsible for overseeing the daily dispatch functions, ensuring prompt, precise, and secure delivery of finished goods to customers, distributors, dealers, and project sites. This role demands coordination with internal departments and external partners, maintaining exact documentation, and supervising shipment activities to meet company standards.
Responsibilities
- Oversee daily dispatch operations to guarantee timely loading and shipping of goods.
- Organize and manage vehicle placement to align with shipment requirements.
- Liaise with Sales, Warehouse, Production, Accounts, Logistics, and Transporters to ensure seamless dispatch processes.
- Validate dispatch orders, including quantities, specifications, and client details prior to loading.
- Prepare and scrutinize necessary dispatch documents such as Delivery Challan, Invoice, E-Way Bill, and transport-related paperwork.
- Supervise loading procedures ensuring correct stacking, handling, and securing of products.
- Confirm dispatches adhere strictly to approved orders and customer expectations.
- Track vehicles post-dispatch and maintain communication with transporters on delivery status.
- Keep comprehensive daily records of dispatch activity, vehicle logs, loading amounts, outstanding orders, and delivery progress.
- Collaborate with warehouse teams to monitor stock availability, preventing dispatch delays.
- Handle reporting and management of damaged, rejected, or excess materials and coordinate discrepancy resolution with appropriate departments.
- Maintain discipline, safety, and cleanliness standards within the dispatch zone.
- Coordinate vehicle scheduling, routes, loading times, and delivery plans with transporters and drivers.
- Address routine dispatch and logistics challenges, escalating significant issues to higher management.
- Compile daily and monthly dispatch reports and management information system (MIS) data.
- Ensure adherence to internal policies, safety regulations, and legal mandates.
- Supervise dispatch personnel including helpers and loaders, providing guidance and support.
Required Qualifications and Skills
- Graduate or Diploma in Logistics, Supply Chain, Operations, Commerce, or related subjects.
- 2 to 5 years of experience in dispatch, logistics, warehouse, or transportation roles.
- Knowledge of dispatch documentation such as E-Way Bill, invoices, Delivery Challan, and LR documents.
- Familiarity with ERP/SAP, Tally or comparable inventory and dispatch systems.
- Proficient in MS Excel for report generation and MIS preparation.
- Excellent coordination, communication, supervisory, and team management abilities.
- Capable of managing multiple vehicle dispatches concurrently.
- Strong problem-solving skills and ability to perform effectively under pressure.
- Preferred experience includes manufacturing sectors like construction chemicals, building materials, FMCG, and related industries.
