Job Overview

The Dispatch Supervisor will oversee daily transportation and dispatch functions, managing vehicle availability, transport resource allocation, and ensuring the transport schedule is executed effectively. This role involves managing carrier relations, monitoring freight rates, facilitating bidding processes, renewing contracts, and negotiating commercial terms, all while aligning transport deployment with company goals.

Primary Duties

  • Coordinate with approved carriers to guarantee sufficient transport capacity to meet operational demands.
  • Maintain consistent communication with transporters concerning vehicle availability, dispatch scheduling, and transport needs.
  • Evaluate carrier performance and address delays, shortages, or service issues promptly.
  • Foster productive relationships with transportation providers and collaborate with internal teams to clarify transportation requirements.
  • Assign vehicles according to approved transportation plans, monitoring daily and weekly vehicle demands against capacity.
  • Track carrier capacity usage, forecast shortages, and optimize vehicle deployments based on routes, cargo, and priority.
  • Manage additional vehicle allocations when capacity falls short, ensuring effective fulfillment of transportation plans.
  • Oversee quota management, assessing basic and flexible transport quotas, highlighting variances, and reporting on quota utilization.
  • Analyze current market freight rates, competitor pricing, fuel costs, route expenses, and market trends to advise management team on transportation rates and cost efficiencies.
  • Support bidding and tender procedures by preparing documents, evaluating bids, conducting cost comparisons, and aiding carrier negotiations to secure favorable terms.
  • Identify, assess, and onboard new carriers, ensuring compliance with licensing and insurance requirements, and monitor their initial performance.
  • Assist in contract renewals by coordinating with departments and carriers, tracking commercial terms and price adjustment mechanisms related to fuel costs.
  • Supervise dispatch executions, prepare detailed reports on vehicle usage, performance metrics, operational challenges, and cost variances to guide decision-making.
  • Monitor and control transportation expenses, pinpoint inefficiencies, and champion initiatives that improve dispatch effectiveness and reduce operational costs.

Qualifications and Experience

  • Bachelor's degree or Diploma in Logistics, Supply Chain Management, Transport Management, Business Administration, or related disciplines.
  • Professional certifications such as CIPS, CILT, or Supply Chain Management are advantageous.
  • Three to five years of experience in transportation, dispatch, logistics, or fleet management preferred.
  • Prior experience handling third-party carrier coordination, capacity planning, freight rate analysis, bidding and contract negotiation is highly valued.
  • Background in manufacturing, FMCG, building materials, or distribution sectors is beneficial.

Technical Competencies

  • Comprehensive understanding of transport and dispatch operations.
  • Proficiency in analyzing freight rate structures and market pricing dynamics.
  • Strong skills in Excel and data analytics.
  • Experience with ERP, TMS, SAP, or other logistics management software.
  • Knowledge of carrier contracts and commercial agreements.
  • Ability to interpret transport data and compile management reports.
