Role Overview

The Dispatch Manager position entails full accountability for outbound logistics, ensuring orders are released timely and deliveries comply with temperature and schedule requirements. Proficiency with dispatch software, ERP systems, and GPS tracking tools is essential to maintain a seamless dispatch operation.

Key Responsibilities

• Develop daily dispatch plans considering order volumes, production output, and customer delivery schedules.
• Optimize vehicle routes and loading arrangements for cost efficiency and punctual deliveries.
• Manage stock movements adhering to FIFO/FEFO principles, ensuring correct dispatch of products, quantities, and batches.
• Oversee cold chain adherence by monitoring temperatures pre-loading, during transit, and on delivery; maintain hygiene and damage prevention protocols.
• Keep detailed temperature logs and promptly report any deviations.
• Supervise fleet operations including an in-house fleet and third-party transporters, ensuring real-time GPS tracking and addressing delays or route changes.
• Schedule vehicle upkeep, including maintenance, fitness certifications, permits, and insurance renewals.
• Manage driver scheduling, conduct, and related documentation.
• Handle all dispatch-related documentation such as invoices, delivery challans, e-way bills, and proof of deliveries; maintain ERP records to assist audits.
• Ensure compliance with transport laws, GST norms, and food safety regulations.
• Communicate dispatch updates and estimated arrival times to clients and internal teams.
• Address delivery-related issues including complaints, short supplies, returns, and damages with root cause analysis.
• Prepare regular management information systems (MIS) reports on dispatch KPIs including on-time delivery, freight costs, and vehicle utilization.
• Drive continuous improvements in processes and technology to optimize costs and efficiency.

Candidate Requirements

• Graduate degree in Logistics, Supply Chain Management, BBA, B.Com, or related disciplines; logistics diplomas or certifications are preferred.
• Two to three years of experience managing dispatch or logistics operations, ideally in food, FMCG, or cold-chain sectors.
• Practical expertise using dispatch software, ERP platforms such as SAP or Tally, and GPS fleet tracking technologies.
• Proficient in Microsoft Excel functions including VLOOKUP and pivot tables; quick to adapt to new software tools.
• Familiar with e-way bills, GST documentation procedures, and transportation regulations.
• Strong interpersonal skills for coordination, problem-solving, and team management.
• Fluent in Gujarati and Hindi with working proficiency in English.

Working Conditions

• Full-time on-site position based in Ahmedabad.
• Working hours from 10:00 AM to 7:00 PM, with possible night shifts depending on dispatch demands.
• Four weekly days off each month.
• Role does not support remote or hybrid work arrangements.

Salary

The compensation for this role is ₹30,000 per month plus performance-linked incentives.
