Role Overview
The Assistant Purchasing Manager will support the Director of Purchasing Management and Purchasing Manager in managing the hotel's procurement operations. This position requires overseeing purchasing functions, ensuring procurement of supplies at the best possible price, and supervising the purchasing officers to guarantee smooth departmental workflows.
Key Responsibilities
- Maintain strong working relationships with all hotel departments and Corporate Purchasing.
- Lead, coach, and motivate the Materials Management team, deeply understanding their roles and duties.
- Negotiate cost-effective procurement of all supplies, services, Capex, and FF&E items in alignment with company guidelines and quality standards.
- Create purchase orders upon approval, securing necessary authorizations from the Director of Finance and General Manager before processing.
- Gather competitive price quotes and verify availability of requested items.
- Source and establish reliable supplier relationships and assist with contract negotiations.
- Coordinate regular inventories with Stores to ensure sufficient stock levels for all inventoried items across departments.
- Oversee accurate documentation for all received items following company purchasing and receiving protocols.
Qualifications & Experience
- Diploma or Degree in Hotel Management, Accounting, or related field.
- Diploma or Degree in Purchasing or Procurement Management.
- At least 2 years of purchasing experience in a similar role within a 5-star hotel environment.
- Minimum of 2 years’ experience in Cost Control.
- Proficiency in Procurement/Purchasing software, preferably Check SCM.
- Strong command of English language skills, both spoken and written.
- Good knowledge of Microsoft Office applications, especially Excel.
