Job description

Role Overview

The Assistant Bid Manager is instrumental in aiding the Bid Manager, Sales Director, and local sales teams by managing and overseeing the bid and proposal process across the entire project lifecycle, from early opportunity identification to RFI and RFP stages. This position involves collaboration across diverse client accounts and internal stakeholders, demanding attention to detail, creativity, and strong written communication skills to effectively express solutions aligned with client challenges.

Key Responsibilities

  • Conduct client research to support engagement efforts and assist in preparing materials for client meetings and presentations.
  • Contribute to the organization and content creation for business unit events.
  • Support account planning through gathering client insights, relationship mapping, and identifying growth opportunities.
  • Assist client engagement activities, including preparation, follow-up, and capturing action items from prospective client meetings.
  • Coordinate and support the bid process alongside Business Development Managers, ensuring RFIs and proposals are delivered to high standards.
  • Manage proposal documentation from initiation to submission, including bid tracking, response structuring, and collaboration with supply chain partners for quotations and pricing.
  • Develop compelling bid responses and executive summaries in partnership with business development colleagues.
  • Review and refine contributions to ensure clear articulation of key differentiators and winning themes.
  • Maintain high-quality final documents through design, editing, and proofreading.
  • Plan and prepare materials for post-proposal activities such as site visits and presentations.
  • Assist in embedding and enhancing bid management processes and knowledge sharing within the division.
  • Update and manage content libraries with professional profiles, case studies, and account information for wider business use.
  • Stay informed of industry trends, competitor activity, and innovations, disseminating insights to improve bid strategies.
  • Facilitate sales enablement by maintaining reusable content, templates, and tools to optimize bid activities.
  • Support community building and deliver proposal training within the business unit.
  • Build and maintain relationships with operational leaders and support functions.

Candidate Profile and Requirements

  • A passion for quality, creativity, and achieving results, with strong attention to detail.
  • Excellent writing, editing, and communication abilities essential for bid management.
  • Energetic, proactive, and capable of managing multiple priorities and deadlines.
  • Natural leadership qualities with skills to build relationships, influence, and motivate teams under pressure.
  • Proficiency in Microsoft Word, PowerPoint, and Excel within the Microsoft 360 suite.
  • Strong organizational and planning skills, adept at managing multiple stakeholders and deadlines.
  • Desirable experience includes prior bid management or sales environment work, proposal writing and management, teamwork, and collaboration.

Additional Information and Expectations

  • Degree-level higher education is advantageous.
  • Must be flexible to occasionally work beyond normal office hours to meet stringent deadlines.
  • Travel may be required for team meetings, site visits, conferences, or events.
  • All bid-related information must be handled with strict confidentiality.
