Job Overview
The Administrator role entails overseeing and coordinating a variety of administrative functions within the organization. This includes managing daily department activities, supervising staff, and ensuring the smooth operation of office services.
Key Responsibilities
- Oversee daily department operations while supporting clerical tasks.
- Handle incoming phone communications by providing information or redirecting calls.
- Maintain office supplies and equipment, ensuring availability and proper function; order stationery as needed.
- Organize and promote office events such as meetings, conferences, interviews, orientations, and training sessions.
- Provide administrative assistance to executives, senior business leaders, and other key staff members.
- Assist in organizing meetings and teleconferences, including minute-taking, transcription, and distribution of action items.
- Manage preparation and timely distribution of leadership communications, including weekly reports and monthly updates.
- Support the Executive Team in preparing for significant annual leadership and strategic meetings.
- Draft and revise various documents such as correspondence, presentations, and communications.
- Oversee orientation for new hires, including training and resource provision.
- Maintain accuracy and updates of the policy and procedure manuals alongside leadership guidance.
- Participate in Health, Safety, and Environmental (HSE) programs, safety awareness efforts, and incident management in compliance with company policies.
Required Qualifications
- Bachelor's Degree in Business Administration or a related discipline.
- At least 5 years of total work experience, including a minimum of 3 years in a relevant administrative role.
- Experience within the Gulf Cooperation Council (GCC) region for at least 2 years is considered advantageous.
