Job Overview
The role involves comprehensive calendar coordination to avoid scheduling conflicts for key meetings and client appointments, ensuring efficient management of time-sensitive engagements. Serving as the central communication hub, the candidate will handle screening of telephone calls and oversee email correspondence to guarantee prompt handling of important inquiries.
Key Responsibilities
- Coordinate unified calendars for multiple professionals to prevent double-bookings, focusing especially on high-priority client consultations and site visits.
- Serve as the primary communication point, managing calls and emails efficiently for timely responses.
- Organize travel logistics, including transportation and accommodation arrangements, and prepare detailed itineraries for business-related travel.
- Maintain both physical and digital filing systems, oversee expense reporting, and manage office inventory.
- Perform additional office-related tasks as assigned.
Candidate Profile and Skills
The ideal candidate demonstrates strong interpersonal abilities and empathy, alongside solid organizational competencies. Familiarity with Microsoft Office and Windows OS applications is essential. Preference is given to entry-level candidates specialized in secretarial, executive support, receptionist, front desk, hospitality, or personal assistant roles.
