About Swissport and the Role

We are seeking an organized and proactive Workforce Coordinator to join our Operations team in Auckland.
Key Responsibilities
- Dynamically manage and adjust staff rosters with up to 72 hours forward planning, covering all operational sectors including Passenger and Ramp Services.
- Track critical operational metrics such as flight schedules, passenger load, baggage, and freight volumes to ensure workforce allocation meets daily demands.
- Adapt resource plans promptly to handle disruptions like unscheduled flights, gate changes, or irregular operations.
- Collaborate closely with Duty Managers, Supervisors, and team leaders to communicate and implement staffing plans effectively.
- Create and maintain accurate allocation documentation reflecting both planned and real-time workforce adjustments for transparency.
- Address same-day staffing shortages by reassigning on-shift staff, approving additional call-ins or hours in accordance with rostering policies.
- Consider fatigue management, employee qualifications, experience, and approved leaves when assigning tasks.
- Update the Swissport rostering system to accurately reflect changes promptly.
- Prepare detailed end-of-shift reports covering manpower usage, deviations from plans, and operational challenges.
- Ensure staffing complies with safety, compliance, and contractual requirements, including break adherence and shift limits as per the Swissport Collective Agreement.
- Promote fairness and transparency in work distribution and task assignments.
- Monitor timesheets at shift changes and communicate roster updates and breaks to staff.
- Report any staff grievances or issues promptly and professionally to management.
- Maintain continuous communication with team members and leadership throughout shifts.
- Identify improvements in workforce planning and operational effectiveness, enhancing safety and team outcomes.
- Provide flexible support for additional operational requirements as the role demands.
Candidate Profile
- Exceptional planning, organisational, and time management skills, capable of juggling multiple priorities smoothly.
- Strong, clear communication abilities, both verbally and in writing, to coordinate effectively with diverse stakeholders.
- Keen situational awareness with the ability to swiftly evaluate and respond to challenges in real time.
- Adaptable and positive attitude, with readiness to work a rotating 24/7 roster including mornings, nights, weekends, and public holidays.
- High proficiency with computers, especially Excel and Outlook, with great attention to detail in administrative and reporting tasks.
- Excellent interpersonal skills, approachable and cooperative, capable of building positive relationships at all organizational levels.
- Self-driven and independent, able to take initiative and complete tasks without supervision, embracing challenges confidently.
- Robust problem-solving skills, maintaining calm and flexibility under pressure, adept at shifting priorities while keeping the larger goals in view.
- Dedicated to fairness and equity in workload sharing and task delegation.
- Experience in airport operations is highly desirable, with knowledge of Passenger and Ramp services preferred.
- Understanding of workforce rostering and planning principles, including application of relevant Employment Agreement rules, is advantageous.
