Job description
Role Overview
As a Visits Processing Officer, you will be responsible for coordinating and handling applications and attendance of both personal and accredited visitors at the correctional facility, ensuring compliance and smooth visit operations.
Key Responsibilities
- Process visit bookings meticulously, confirming that all visitors have appropriate approvals before attendance.
- Maintain accurate, up-to-date computerized and physical records of visitor information.
- Ensure that all handled documentation remains confidential and is organized within a reliable filing system.
- Communicate visit procedures effectively at the time bookings are made.
- Verify and confirm visitor bookings upon their arrival at the centre.
- Guide visitors appropriately within the premises as needed.
- Manage personal workflow by prioritizing and negotiating work tasks considering colleagues' requirements.
- Respond to inquiries from the public, prisoner relatives, and friends regarding visit information.
- Provide clear information about visit schedules, including timing, duration, and frequency.
- Safeguard confidentiality consistently while interacting with visitors.
- Handle reception of payments and approved prisoner property items from external parties.
- Collaborate with intelligence, custodial, and sentence management teams concerning individual prisoners in line with case and sentence management procedures.
Additional Information
The outlined responsibilities represent baseline requirements; additional duties may be assigned as necessary.
