Role Overview

This position of Travel Coordinator, based in Adelaide, will oversee travel and mobilisation logistics for personnel across various projects. The role involves coordinating travel arrangements to align with project timelines while ensuring compliance with company policies. Close collaboration with project teams, employees, and travel vendors is essential to facilitate smooth travel operations.

Key Duties

  • Arrange flights, accommodations, and car rentals utilizing authorized travel management platforms.
  • Handle mobilisation and demobilisation travel plans for staff working on multiple projects.
  • Communicate effectively with project teams, staff, travel providers, and accommodation suppliers to ensure flawless travel experiences.
  • Track travel schedules, manage booking adjustments, cancellations, and urgent requests.
  • Review invoices related to travel and assist in expense tracking and reconciliation processes.
  • Keep detailed records of travel activities, reports, and employee movement logs.
  • Support onboarding and mobilisation procedures for new hires.
  • Assist with updates to rosters and workforce scheduling when needed.
  • Ensure all travel complies with company policies, project guidelines, and budget parameters.
  • Prepare and distribute regular reports on travel and mobilisation to project teams and management.
  • Provide additional administrative assistance to project and operations groups as required.

Candidate Profile

The ideal candidate will have prior experience in travel coordination, workforce mobilisation, administration, or project support roles. Key attributes include strong organisation, time management, excellent attention to detail, and proficiency with Microsoft Office (Outlook, Word, Excel). Strong communication and stakeholder engagement skills are essential, alongside the ability to operate independently and collaboratively in a fast-paced environment. Being proactive, adaptable, and solutions-oriented are also important traits.

Preferred Qualifications

  • Experience managing FIFO or project-based workforce travel.
  • Familiarity with travel booking and management systems.
  • Background supporting engineering, construction, mining, energy, or industrial sector projects.
