Role Summary

The Transport Administrator (Subcontractor) will offer administrative and operational support essential to smooth transport operations. This position involves coordinating fleet activities, managing documentation and compliance, assisting payroll processes, and generating reports to ensure efficiency and cost-effectiveness within transport functions.

Key Responsibilities

  • Coordinate and oversee daily transport logistics and activities.
  • Maintain accurate and organized records of transport documentation for audits and regulatory compliance.
  • Manage vehicle licensing, insurance, and permits, ensuring timely renewals.
  • Assist in processing drivers’ timesheets and inputting payroll data.
  • Update fleet management databases and transport management systems (TMS).
  • Ensure adherence to transport laws, company policies, and safety standards.
  • Monitor fleet utilization, performance, and availability to optimize operations.
  • Identify operational discrepancies and escalate for resolution.
  • Support investigations regarding accidents or transport-related incidents.
  • Promote safety culture and encourage employee engagement within the transport team.
  • Track traffic violations, fines, and implement corrective measures.
  • Prepare and deliver daily, weekly, and monthly transport reports.
  • Monitor compliance with axle-load regulations and weighbridge requirements.
  • Manage dispatch operations including control of delivery documents, vehicle keys, GPS devices, fuel cards, and communication tools.
  • Collaborate with customer service and stakeholders to resolve delivery-related matters.
  • Support workforce management to ensure balanced workloads and foster team development.

Candidate Profile

  • Diploma or degree in Logistics, Supply Chain Management, or related discipline, with pertinent professional qualifications.
  • Between 2 to 5 years of experience in transport administration or logistics operations.
  • Hands-on experience in transport coordination, recordkeeping, compliance monitoring, and payroll support, preferably within the logistics sector.
  • Familiarity with Kenyan transport regulations and local operational requirements.
  • Strong verbal and written communication skills in English.
