Job description
Overview
The Technical Support Specialist plays a vital role in facilitating the Dean's Office functions by providing robust technical and operational assistance. This includes supporting the management of digital records, streamlining electronic workflows, and aiding in student engagement and medical education processes, as well as assisting with institutional events.
Technical and Systems Support
- Deliver technical support to enhance the daily operations of the Dean's Office.
- Manage digital records, electronic workflow systems, and databases efficiently.
- Contribute to the setup and maintenance of tech-driven processes designed to improve office efficiency.
- Coordinate and oversee document management and electronic filing to guarantee data accuracy and easy retrieval.
Operational Support
- Assist with daily operational tasks and coordinate various internal projects and workflows.
- Manage procurement activities, track inventories, and oversee resource allocation as required.
Events and Program Assistance
- Offer both technical and logistical support for a variety of events such as conferences, workshops, ceremonies, leadership functions, and college initiatives.
General Duties
- Safeguard the confidentiality, precision, and integrity of institutional data.
- Ensure compliance with all relevant university policies and standards.
- Perform additional technical or operational assignments as directed by the Dean's Office leadership.
Key Collaborations
- Coordinate effectively with college faculty, staff, and students.
- Liaise with university departments including the Printing and Design Unit.
- Engage with external service providers like caterers and delivery services.
- Interact with external stakeholders related to the college.
Qualifications
- Minimum: Completion of High School certificate.
- Preferred: Possession of a Diploma.
Experience and Skills
- 0 to 5 years of relevant experience supporting events and academic or student activities.
- Strong organizational and planning skills with an ability to address problems and manage multiple priorities simultaneously, especially under tight deadlines.
- Excellent written and verbal communication capabilities.
- Exceptional attention to detail combined with professionalism, diplomacy, and teamwork skills.
- Willingness to occasionally work during evenings or weekends for event coverage.
- Proficiency in Microsoft Office Suite.
