Software and Hardware Asset Manager

About the Role

As the Software and Hardware Asset Manager at Kāinga Ora, you will oversee the daily administration of the organisation's technology asset inventory. Your role involves ensuring all software licenses and hardware assets are precisely monitored, compliant with policies, optimized for cost, and effectively managed throughout their entire lifespan.

Key Duties

• Ensure the accuracy and governance of software and hardware asset data across platforms like ServiceNow and asset management systems.
• Manage asset lifecycle governance, handling each stage from acquisition to retirement.
• Track software license usage and compliance to minimize risks, reduce expenses, and prepare for audits.
• Collaborate with internal teams including Digital IT, Procurement, Finance, and external vendors to provide valuable asset insights for budgeting and renewal planning.
• Analyze trends in asset usage, cost, and performance to spot risks or opportunities for efficiency improvements.
• Create and sustain clear dashboards, reports, documentation, and knowledge bases to support asset visibility and informed management decisions.
• Enhance asset management processes, workflows, governance frameworks, and ServiceNow SAM functionalities continually.
• Support the organisation’s software audits verifying compliance with licensing agreements and standards.

Candidate Profile

• Demonstrable experience in managing software and hardware assets effectively.
• Comprehensive understanding of software licensing, compliance requirements, and asset lifecycle management principles.
• Familiarity with ServiceNow, Configuration Management Database (CMDB), Software Asset Management Pro (SAM Pro), Power BI, or similar systems.
• Strong analytical capabilities with meticulous attention to data quality and reporting accuracy.
• Commercial insight with expertise in analyzing license consumption, identifying cost-saving possibilities, and ensuring technology investments yield maximum value while maintaining compliance.
• Ability to interpret complex licensing agreements, usage data, and vendor contracts confidently.
• Excellent communication and stakeholder engagement skills to work across various departments and with vendors.
• A proactive approach with a mindset geared toward continuous improvement and effective problem-solving.
• Collaborative skills to integrate efforts among business, technology, procurement, and vendor teams.
