Job description
Overview
This role is a senior-level technical documentation administrator position based in Ras Laffan, Qatar, offered on a 24-month contract. The incumbent will operate onsite five days a week, primarily focusing on the LOTS project, providing domain expertise and coordinating closely with team members to support and execute project tasks.
Key Responsibilities
- Offer domain knowledge and collaborate with colleagues on the development and execution of the LOTS project.
- Assist in compiling internal management reports and conduct relevant analyses.
- Perform data entries and generate reports using SAP, including dashboard operations.
- Prepare presentation materials and various reports for management and stakeholder consumption.
- Ensure efficient coordination and execution of administrative and clerical activities related to LOTS and other project management functions.
- Manage incoming and outgoing correspondences by timely receiving, registering, and distributing documents.
- Maintain a well-organized filing system for quick and easy accessibility of all documentation.
- Support division personnel in the preparation and timely issuance of documents and reports.
- Assemble document packages, prepare controlled and non-controlled copies, maintain records, and verify information accuracy prior to release.
- Monitor databases and produce routine reports reflecting the status of critical issues.
- Arrange meetings, take minutes, prepare monthly status reports, and ensure their distribution to pertinent parties.
- Coordinate with various company departments to uphold documentation management and archiving standards.
- Apply knowledge of Project Management System policies and procedures effectively.
- Maintain records in a manner compliant with audit requirements.
- Engage in reviewing, improving, and implementing enhanced business processes and workflows.
Challenges and Work Context
- Clarify procedural formalities as needed to various stakeholders.
- Provide prompt support across multiple business functions.
- Demonstrate proficiency in SAP ESM/MM modules to accurately process relevant transactions.
- Identify and troubleshoot system-related issues impacting order releases, service entry sheets, and payments.
- Highlight work demands and unresolved matters to facilitate timely resolutions.
Qualifications & Experience
- Preference for candidates holding a Bachelor's degree in Business Administration or an equivalent qualification from a recognized university.
- A minimum of three years’ relevant experience managing databases and data repositories.
- At least one year of exposure to scheduling and calendar management.
- Strong computer skills with advanced capability in MS Word, Excel, PowerPoint, and Outlook.
- Familiarity with MS Access is beneficial.
- Mandatory working knowledge of SAP systems.
