Role Overview
As a Senior Portfolio Coordinator, you will play a pivotal role in managing a complex suite of programmes and projects for one of our major public sector clients. Collaborating closely with Portfolio, Programme, and Project Managers, you will establish clear structure and visibility across diverse workstreams. Your focus will be on ensuring smooth governance and timely, accurate information sharing to enhance decision-making.
This role transcends traditional coordination by actively identifying risks, dependencies, and delivery challenges. You will enhance reporting, governance, and assurance processes, fostering an interconnected delivery environment that instills confidence in portfolio performance and promotes superior outcomes for our customers.
Key Responsibilities
- Develop comprehensive governance documentation, executive briefings, and steering committee materials tailored for internal and customer meetings.
- Manage the portfolio's governance schedules and reporting cycles, preparing meetings effectively and overseeing action items, decisions, and follow-ups.
- Maintain an aggregated overview of the portfolio’s status, including timelines, milestones, risk, issue and dependency logs, scope, changes, resource allocation, and delivery progress.
- Evaluate portfolio data to uncover emerging risks, trends, anomalies, and critical decision points, providing actionable insights to leadership.
- Present complex delivery data as clear, standardized, and decision-ready reports for senior executives and client stakeholders.
- Assist with financial and commercial reporting activities such as forecasting, monitoring recoverability, addressing cost pressures, and tracking unfunded initiatives.
- Serve as a central coordination hub within the portfolio, driving continuous improvements in reporting quality, governance standards, template usage, and assurance protocols.
Candidate Profile
- Demonstrated experience in portfolio, programme, or project coordination, PMO functions, governance roles, or delivery support within complex ICT or customer-oriented environments.
- Strong analytical aptitude with meticulous attention to detail, capable of interpreting various delivery-related datasets including financials, risks, dependencies, and milestones.
- Proficient in producing polished governance and executive reports focused on enhancing effective decision-making.
- Solid understanding of project and program management methodologies, including governance frameworks, risk and issue management, change controls, dependency tracking, and reporting schedules.
- Keen commercial insight with hands-on experience supporting budgeting forecasts, recoverability assessments, and financial administration of projects.
- Excellent interpersonal and communication skills for managing relationships with senior internal stakeholders and clients confidently.
- Highly organised, adaptable, skilled in Microsoft Office applications, knowledgeable in continuously enhancing processes, and ideally familiar with generative AI tools.
