About the Role and Company

This impactful role of Resource Planner supports service excellence by ensuring the right personnel are allocated effectively to field activities. Based in Melbourne, Victoria, this role closely collaborates with cross-functional teams to optimize planning accuracy, increase productivity, and enhance customer satisfaction and safety.
Key Responsibilities
- Utilize Field Service Management and automated planning tools to assign resources accurately across field services, installation projects, calibrations, training, and upgrades, aligning skills, locations, and schedules with demand.
- Maintain agile planning methods by identifying alternative resource options promptly to manage urgent or last-minute requirements without compromising quality or delivery.
- Proactively communicate with stakeholders to keep them informed of resource status, constraints, risks, and feasible alternatives.
- Lead escalation processes to prioritize resources effectively when faced with urgent demands and limited availability.
- Validate and align task scopes rigorously with requestors, ensuring quality through planning checkpoints.
- Comply with Service Level Agreements by responding quickly to resource requests, including those outside regular hours when necessary.
- Support market understanding of demand and capacity constraints, coordinating resource adjustments regionally or via outsourcing as applicable.
- Ensure service engineers have the necessary documentation, tools, and templates before site visits by coordinating logistics.
- Analyze long-term workforce capacity and propose strategic resourcing plans including cross-regional support and outsourcing.
- Provide early notifications about potential resource shortages or risks to enable timely decisions by stakeholders.
- Manage FlexZone strategy adherence and preferred supplier relationships for the markets covered, handling exceptions via established escalation protocols.
- Apply planning processes and tools daily, and engage with stakeholders across planning activities.
- Coordinate internal training demands to ensure engineers meet future competency requirements.
- Manage Mandatory Kits installation planning and monitor effectiveness, reporting discrepancies to the Development & Training teams.
- Collaborate with Service Delivery Engineers, Corporate Travel, HR, and others to streamline visa, permits, and immigration processes supporting regional resource deployment.
Candidate Profile
- Bachelor's degree in Business Administration, Engineering, Supply Chain Management, Operations Management, or related field.
- Between 3 to 5 years of experience in resource planning, workforce or project coordination, or service operations.
- Strong analytical skills with problem-solving capabilities to handle competing priorities and pressure.
- Creativity and agility in managing urgent resource demands effectively.
- Excellent stakeholder management and influence across various functions and regions.
- Effective verbal and written communication skills to manage expectations and conflict resolutions.
- Ability to work accurately and responsively in a fast-paced environment with a strong customer focus.
- Good understanding of service operations, project execution, and workforce utilization principles.
- Experience with capacity planning, forecasting, workload balancing, and resource optimization methods.
- Track record in managing escalations and facilitating priority decision-making.
- High ownership and accountability, ensuring SLAs are met with urgency.
- Familiarity with planning, scheduling, ERP, or Field Service Management software.
- Strong organizational and multitasking capabilities.
- Ability to analyze operational data to improve planning and utilization.
- Experience in regional or global organizational contexts is an advantage, including cross-border resource coordination.
- Knowledge of visa, work permit, immigration, and workforce mobility is beneficial.
- Proficiency in Microsoft Office tools, especially Excel, Power BI, and data analysis applications.
- Willingness to support critical business needs outside normal business hours.
