Job Overview
The Registrar plays a critical role in managing school regulatory compliance and parent communications at an international school in Doha. This position requires interacting with the Ministry of Education and Higher Education (MOEHE) portal, handling admissions documentation, and ensuring alignment with educational policies and procedures.
Key Responsibilities
- Oversee management of Engage system and MOEHE portal access and updates.
- Serve as the primary contact for parents following offer acceptance.
- Collect essential documentation from parents, including identification, school and medical reports, and completion of school forms.
- Dispatch welcome packages and required enrollment documents to new families.
- Monitor timely payment of registration fees by new students' parents.
- Ensure parental compliance with MOEHE requirements for new admissions.
- Issue official documents like Transfer Certificates and Leaving Certificates through the MOEHE portal as necessary.
- Upload student results on MOEHE portal after authorization from the Principal and Senior Leadership Team (SLT).
- Process promotion of students in the MOEHE system following result uploads.
- Add new subjects or classes on MOEHE portal when required by the school.
- Coordinate with MOEHE regarding requirements for new grades, fee approvals, and discount authorizations.
- Verify that all marketing materials align with MOEHE regulations.
- Provide expertise and guidance to admissions and SLT concerning MOEHE policies and procedures.
- Maintain and update admissions tools, tour scripts, school forms, and welcome packages to ensure accuracy and relevance.
- Keep the Engage platform updated with pertinent communication templates for parent outreach.
- Follow up on student re-enrollments and generate reports aligned with International Schools Partnership (ISP) key performance indicators.
- Report on student leavers according to ISP standards.
- Support school inspections and assist admissions staff during calls, events, and tours.
- Contribute to school promotion efforts to generate new leads in collaboration with admissions.
- Work closely with finance and the school nurse to coordinate student-related processes.
- Maintain accurate and current information in Engage, including student and parent contact details as well as class lists.
Required Qualifications and Skills
- Bachelor’s degree in a relevant field.
- Fluency in both English and Arabic languages.
- Previous experience working with the MOEHE system.
- A minimum of four years of professional experience in Qatar.
- Strong presentation and communication abilities to convey information clearly and professionally.
- Excellent organizational skills with the ability to prioritize multiple tasks efficiently.
- Customer service aptitude with a focus on providing a positive experience.
- Critical thinking skills to analyze situations and make informed decisions.
- Capability to negotiate, persuade, and motivate others effectively.
- Willingness to engage in continual professional development opportunities.
