Job Overview
The Receptionist is the initial point of contact for employees, clients, visitors, and service providers, tasked with offering a professional and hospitable reception experience. This position supports daily office functions including visitor management, access control, coordination of workspaces, mail handling, and various administrative duties. Maintaining a professional atmosphere and contributing to a secure, organized, and efficient workplace is central to this role.
Primary Duties
- Greet visitors, clients, candidates, and vendors courteously and professionally.
- Handle visitor registration with check-in/check-out processes while verifying identification in compliance with security policies.
- Inform hosts upon visitor arrivals and arrange any necessary escorts.
- Keep precise visitor logs and records in accordance with company retention policies.
- Provide hospitality amenities such as refreshments and guidance to visitors.
- Answer incoming telephone calls promptly; redirect calls to appropriate employees or departments; accurately take and communicate messages.
- Manage reception-related mailboxes and respond to general office inquiries.
- Issue and facilitate activation of access cards for employees and visitors adhering to authorization protocols.
- Support and monitor building access and security procedures, including escalation of security concerns.
- Assist workplace security personnel and comply with emergency protocols as directed.
- Handle workspace and meeting room reservations; coordinate catering and support services for meetings.
- Manage office stationery, reception supplies, and oversee mailroom and courier processes for both inbound and outbound parcels.
- Coordinate printing, translation, and other support services as needed.
- Maintain cleanliness and professional appearance of the reception area.
- Prepare and maintain records and reports related to reception activities and assist with monthly reconciliation of access cards and office administration.
- Process routine documentation and assist in inventory control of office consumables.
- Ensure compliance with company policies and workplace standards at all times.
Qualifications and Experience
- Diploma or Bachelor's degree in Business Administration, Hospitality, Office Management, or related disciplines.
- Between one and three years of relevant experience in reception, front office, customer service, or workplace operations roles.
- Proficient with Microsoft Office suite including Outlook, Word, Excel, and Teams.
- Fluent in both Arabic and English, with strong verbal and written communication skills.
- Prior experience in a multinational or corporate office setting is favored.
- Applicants must be Saudi nationals.
