The Purchasing Buyer plays a vital role in ensuring the smooth procurement of supplies needed to support outstanding guest experiences. Working closely with the Purchasing Supervisor and Manager, this role demands strong organizational skills, commercial insight, and supplier relationship management to procure quality products in an efficient and compliant manner.
Key Responsibilities
- Identify and source products, securing competitive quotes from approved and potential suppliers
- Evaluate quotations considering pricing, quality, specifications, availability, and delivery schedules to assist in decision making
- Accurately prepare and process purchase orders within specified timelines
- Collaborate with hotel departments to understand specifications, quantities, and operational needs
- Follow up on pending orders, deliveries, and address any concerns related to quality or supply
- Maintain ethical and professional supplier relationships
- Keep supplier data, purchase documents, quotations, and related records accurate and well-organized
- Track pending purchase requests and monitor any outstanding purchase orders not yet fulfilled
- Provide assistance to Purchasing Supervisor and Manager in routine procurement tasks and identifying cost-saving opportunities
- Ensure all purchasing activities comply with hotel policies, approval procedures, and internal controls
Required Qualifications and Skills
- A diploma or equivalent in Purchasing, Supply Chain, Business Administration, Finance, or related discipline
- Prior experience in purchasing or procurement, ideally within hotel or hospitality sectors
- Sound knowledge of sourcing processes, quotation handling, purchase ordering, and supplier coordination
- Strong attention to detail with excellent organizational and follow-up capabilities
- Effective communication and negotiation skills
- Ability to handle multiple purchase requisitions and meet deadlines efficiently
- Proficiency in purchasing and inventory software, along with Microsoft Office applications
- Collaborative team player comfortable working closely with operational departments and suppliers
- Fluent in written and spoken English
- Willingness to support operational requirements flexibly as needed
