Role Objective
This position operates within the Transformation Portfolio department, focusing on enhancing delivery capabilities while strengthening governance, commercial oversight, and day-to-day coordination across multiple projects. The Project Coordinator ensures that project teams concentrate on execution by managing administrative tasks effectively, tracking deliverables, and maintaining thorough documentation.
Key Responsibilities
- Assist with governance for portfolio, program, and project activities by ensuring proper documentation, audit trails, and current reporting.
- Maintain and regularly update RAID (Risks, Assumptions, Issues, Dependencies) logs across projects within the portfolio.
- Monitor and track project actions, decisions, and milestones, proactively following up with team members and stakeholders.
- Prepare governance reports, presentation materials, meeting agendas, and supporting documentation for leadership forums, including EPSG meetings.
- Document meeting minutes accurately, ensuring clear action items and timely follow-up.
- Organize and coordinate project and stakeholder meetings, overseeing logistics and participant attendance.
- Track project timelines and progress, identifying and communicating any delays or obstacles early.
- Support administration of change control processes by ensuring changes are logged and have the necessary approvals.
- Aid release readiness by coordinating required pre-launch activities.
- Manage purchase order (PO) processes and invoice handling, including liaising with suppliers to ensure payments proceed without delay.
- Organize and maintain commercial documentation such as contracts, POs, and invoices for easy retrieval and audit readiness.
- Administer document repositories for the portfolio, ensuring version control and orderly storage.
- Support portfolio-level planning and reporting efforts when required.
Skills and Competencies
- Exceptional organizational and administrative capabilities to ensure thorough tracking and no overlooked details.
- Proven ability to multitask across several projects and priorities without losing accuracy or focus.
- Experience in creating precise reports, meeting minutes, and governance documentation to high standards.
- Proficient in Microsoft Office suite, especially Excel, PowerPoint, and Teams for efficient communication and documentation.
- Excellent communication skills enabling confident and effective coordination with stakeholders at various levels.
- Meticulous attention to detail and commitment to thorough completion of tasks.
- Solid understanding of different project methodologies, including Agile and Waterfall.
- Experience with digital or technology transformation programs is beneficial.
- Familiarity with managing purchase orders, invoices, and supplier interactions is preferred.
Qualifications and Experience
- Previous experience in roles such as PMO, Project Coordinator, Project Support, or Project Administrator.
- Knowledge of project governance frameworks.
- Certifications in project management or related areas (e.g., PMP, PM Fundamentals, Agile, PRINCE2) are advantageous but not mandatory.
