Overview

Pearls & Stars Exclusive Travel LLC is seeking a dedicated Project Coordinator to support its operations remotely from Canada. This role requires managing issue tracking, risk oversight, and task management to ensure seamless visibility, high-quality handoffs, and thorough documentation throughout the project lifecycle.

Key Responsibilities

  • Oversee assigned project coordination tasks within the Canadian workflow by leveraging issue tracking, quality assurance procedures, and collaboration across teams to maintain transparent ownership and traceability.
  • Examine incoming information utilizing risk tracking and established travel management workflows (specifically Renata Travel DMC and destination operations for Italy and the Mediterranean) to detect and address incomplete or inconsistent data prior to subsequent workflow phases.
  • Monitor pending actions closely via task and project tracking, ensuring deadlines are met and transfer quality and responsibility are upheld visibly.
  • Accurately document all decision points and work handoffs under quality controls, enabling other authorized team members to seamlessly continue the workflow without any disruption or loss of historical context.
  • Support process quality by applying specialized travel workflows and issue management tools, escalating exceptions when data completeness cannot be guaranteed from existing records.

Effective performance in this position is defined by maintaining comprehensive project tracking that reinforces ownership visibility, strengthens handoff reliability, and preserves complete and verifiable records, ensuring unresolved issues carry designated ownership.

Desired Profile

  • Proficient practical experience with issue and risk tracking and working collaboratively across functions within a remote workflow based in Canada.
  • Clear and precise written communication skills that efficiently document status, ownership, and upcoming actions, adhering to quality control measures and specific travel workflows.
  • Familiarity and confidence applying destination management procedures relating to Italy and Mediterranean travel operations and maintaining accurate records.
  • Strong judgment capability handling task management, project coordination, and issue tracking, including deciding when and how to escalate matters within the workflow.

Additional Information

This is a full-time, associate-level position offering complete remote work from within Canada. The salary range is set between 45,000 and 69,000 Canadian dollars annually. The role requires ensuring that documentation, collaboration, and quality controls maintain the integrity, currency, and readiness of the Canadian workflow for transition to subsequent team members.
