Role Overview

The Radisson RED team is looking for an attentive and proactive Procurement Assistant focused on audit support and assisting department leaders in the ordering and stock control processes. This role demands physical stamina as it involves receiving and verifying deliveries as well as managing inventory storage.

Primary Duties

  • Conduct internal audit procedures by following purchasing protocols including requisitions, approvals, quotations, purchase orders, and supplier selection processes.
  • Keep thorough documentation archives comprising requisitions, bids, approvals, contracts, purchase orders, receipts, and invoices.
  • Verify supplier data for correct setup, necessary approval, and identify duplicates or suspicious entries.
  • Record supplier selection decisions and any deviations from competitive bidding policies.
  • Ensure matching of purchase orders, receiving records, and invoices prior to payment approvals.
  • Monitor exceptions and corrective actions with documented evidence of resolutions.
  • Safeguard confidential information and report possible conflicts of interest.
  • Collaborate with heads of departments to align ordering needs with budget limitations and maintain clear communication regarding stock levels.
  • Coordinate with suppliers to guarantee timely and accurate order deliveries, facilitating smooth operational workflows.
  • Oversee receiving processes ensuring that deliveries correspond with purchase orders in quantity and quality.
  • Report discrepancies between ordered and received goods to relevant department heads and accurately log items into the inventory system.
  • Manage stock storage efficiently to allow easy access, reduce waste, and ensure compliance with health and safety regulations.
  • Perform routine inventory audits to maintain precise stock levels and avoid overstocking or shortages.
  • Assist with accounts payable tasks including verification of invoices and proper record keeping.
  • Ensure accurate coding and posting of invoices in the accounting systems and support month-end closing related to purchasing and stock management.
  • Work closely with the Finance team to maintain compliance with internal controls.

Requirements

  • At least 2 to 3 years of experience in hospitality purchasing, receivables, and finance/accounting.
  • Mandatory experience using purchasing software.
  • Proven background handling procurement, delivery inspections, and inventory control.
  • Basic knowledge of accounts payable and financial processes.
  • Physically capable of lifting, inspecting, and moving goods.
  • Exceptional attention to detail and strong organizational skills.
  • Ability to work autonomously and manage deadlines effectively.
  • Good interpersonal and communication skills facilitating cross-department cooperation.

Preferred Qualifications

  • Diploma or degree in Hospitality Management, Finance, Accounting, or related disciplines.
  • Experience within hotel or hospitality operational environments.
  • Familiarity with inventory management systems and procurement best practices.
