About the Role
The Process Analyst at HCS Affiliates Group will act as a crucial link between intricate operational workflows and the teams executing them on a daily basis. Positioned in a dynamic Real-Time Operations environment, the role involves maintaining a comprehensive documentation center, continuously refining processes as business needs evolve, and collaborating closely with Operations, Training, and Quality teams to ensure alignment. By delivering clear and updated guidelines, the analyst enhances operational efficiency and consistency, enabling frontline employees to carry out their duties confidently.
Key Responsibilities
- Manage the department's knowledge repository thoroughly, including content structuring, folder organization, and regular reviews to guarantee accuracy, relevance, and user-friendliness.
- Write, evaluate, and update Standard Operating Procedures (SOPs) and related documents using Confluence, transforming complex operational or technical data into clear, actionable instructions.
- Keep documentation current by monitoring changes in policies, systems, and procedures, promptly revising content to avoid outdated information usage.
- Assess current workflows to identify redundancy, inefficiencies, or ambiguous directions, recommending practical enhancements that simplify process execution.
- Analyze frequent operational errors through root cause examination and implement documentation improvements that minimize misunderstandings and encourage procedural adherence.
- Collaborate with Quality Assurance to study error trends and integrate insights into process design, strengthening documentation with each cycle.
- Support new project launches by coordinating with Training and Leadership teams to evaluate feasibility, risks, and timelines from a process standpoint, ensuring simultaneous release of documentation and training materials.
Required Qualifications and Experience
- Proven experience in operational support roles involving process documentation, quality assurance, training, customer support, or similar areas where clarity and precision are key.
- Exposure to developing or maintaining SOPs, work instructions, or knowledge management content, regardless of whether it was the main responsibility.
- Practical knowledge of Confluence, Google Workspace, Microsoft Office, or equivalent collaborative writing and editing tools.
- Strong written and oral communication abilities with the skill to simplify complex concepts into clear, unambiguous messaging.
- Exceptional attention to detail, inquisitive nature, and proficiency in identifying inconsistencies or process gaps prior to issues arising.
- Adaptability to fast-changing environments where priorities adjust quickly, with willingness to evolve processes while maintaining momentum.
- Analytical thinking paired with a proactive mindset aimed at solving problems and enhancing information flow among teams.
- Bachelor’s degree in a relevant discipline or equivalent practical experience demonstrating the required capabilities.
