Job Overview
We seek a highly organized, professional, and proactive Executive Secretary / Executive Assistant to provide high-level support to senior executives, especially within legal functions. This role involves excellent communication abilities, meticulous attention to detail, and the utmost discretion in handling confidential matters. Experience in law firms, professional services, or executive support roles is highly valuable.
Responsibilities
- Assist legal professionals with daily administrative and legal tasks.
- Perform legal research and create clear summaries, reports, and presentations.
- Draft, review, format, and organize legal documents and correspondence.
- Support contract preparation, review, and documentation management.
- Maintain organized and up-to-date legal and contractual records.
- Manage legal case matters by tracking deadlines, documentation, and actions.
- Coordinate communications among internal departments, external counsel, government bodies, and stakeholders.
- Assist with corporate governance documentation and related submissions.
- Prepare meeting agendas, materials, minutes, and oversee follow-ups for legal meetings.
- Monitor and pursue outstanding legal requests and deliverables.
- Support due diligence, document collection, and information gathering efforts.
- Ensure accuracy and completeness of legal files and databases.
- Handle sensitive information with confidentiality and professionalism.
- Perform additional legal and administrative duties as necessary.
Requirements
- Bachelor's degree in Law, Legal Studies, or a related discipline.
- Prior experience in roles such as Paralegal, Legal Assistant, Legal Secretary, or similar legal support positions.
- Background in law firms or in-house legal teams is preferred.
- Proficient in legal research and document management practices.
- Strong communication skills, both written and oral.
- Fluency in Arabic and English is required.
- Competency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Exceptional attention to detail and accuracy.
- Strong organizational abilities and effective time management.
- Capacity to handle multiple priorities simultaneously.
- Professionalism with high regard for confidentiality and discretion.
- Excellent interpersonal skills and ability to work with diverse stakeholders.
