Role Overview

We are looking for a highly organised and proactive Operations Support & Projects Coordinator to join our faculty’s Operations Support team based on AUT's South Campus. Reporting to the Manager of Operations Support, you will provide project coordination, executive assistance, and operational administration to faculty leadership.

This position involves a diverse and fast-paced workload, collaborating closely with senior leaders, staff, central university teams, and external partners to facilitate the success of faculty objectives.

Key Responsibilities

  • Lead coordination of faculty and school projects, initiatives, conferences, and events.
  • Deliver executive and administrative support to members of the Faculty Leadership Team, including managing diaries, meetings, travel, and correspondence.
  • Prepare agendas, take and distribute minutes, compile reports and briefing documents.
  • Track and coordinate critical actions, deadlines, and communications to ensure smooth operations.
  • Support recruitment processes, onboarding, and related administrative tasks.
  • Assist with financial duties such as managing purchase orders, invoice processing, and reconciliations.
  • Conduct information gathering and research to aid strategic decision-making.
  • Contribute to initiatives aimed at enhancing operational efficiency and continuous improvement.

Candidate Profile

  • Relevant tertiary qualifications in business, administration, IT, or related fields, or equivalent professional experience.
  • Demonstrated experience in coordination, executive support, or operational roles.
  • Strong skills in project coordination and event management.
  • Advanced proficiency with Microsoft Outlook and other Office applications including Word, Excel, PowerPoint, Teams, and SharePoint.
  • Capacity to prioritize multiple tasks and perform effectively under pressure.
  • Excellent communication abilities with experience building relationships across different organizational levels.
  • Meticulous organizational skills and a focus on delivering quality service.
  • Experience working within a large, complex organization.
  • Ability to maintain confidentiality, show sound judgment, and act with initiative.
  • A strong commitment to equity, diversity, inclusion, and respect for Te Tiriti o Waitangi and Indigenous communities.
  • Valued experience supporting Indigenous or equity-focused initiatives.

  • Salary range: NZD 76,000 - 84,000 per annum, dependent on experience and qualifications.
