About the Role
We are seeking an experienced Operations Coordinator to become part of a well-established and supportive operations team, managing import and export shipments from initiation to completion. This hands-on role suits someone with a background in freight forwarding or logistics who values ownership, precision, and delivering outstanding customer service. This is a permanent position with working hours from Monday to Friday, 8:30am to 5:00pm. Salary is open for negotiation based on experience.
Key Responsibilities
- Manage the end-to-end coordination of import and export shipments, from booking to final delivery.
- Communicate effectively with customers, suppliers, carriers, and international offices.
- Ensure all shipments comply with Australian Customs regulations and internal Quality Management System (QMS) processes.
- Arrange transportation and oversee shipments to meet customer service standards and key performance indicators (KPIs).
- Maintain precise records of shipments, tracking data, and system updates.
- Process invoicing within prescribed deadlines.
- Review shipment documentation to verify accurate costing and profitability.
- Keep customers continuously updated regarding shipment status, delays, or changes.
- Conduct company collections using a company vehicle.
Candidate Profile
- Prior experience in freight forwarding or logistics is essential.
- In-depth knowledge of export operations and export documentation.
- High attention to detail paired with excellent organizational skills.
- Strong verbal and written communication abilities.
- Proficient with computers, including Microsoft Word, Excel, and freight management systems.
- Capacity to prioritize and manage multiple tasks effectively in a fast-paced environment.
- A proactive and customer-oriented mindset with robust problem-solving capabilities.
- Possession of a current Australian Driver's Licence is required.
- Familiarity with Dangerous Goods regulations would be beneficial.
