Job Overview
The CEO Office Manager is responsible for managing the daily operations of the CEO’s office and providing top-tier administrative, coordination, and confidential support. This ensures effective management of the CEO’s schedule, communication, and priorities. The role serves as a vital link between the CEO, Board members, senior leaders, and external contacts while ensuring seamless executive office operations.
Primary Duties
- Manage and prioritize the CEO’s calendar, including scheduling meetings, appointments, and travel.
- Draft, review, and coordinate correspondence, presentations, and reports on behalf of the CEO.
- Organize Board and Executive Committee meetings, preparing agendas, documenting, and taking minutes.
- Monitor follow-up actions from CEO meetings and coordinate with department heads for timely completion.
- Act as the main contact point between the CEO’s office and both internal and external stakeholders.
Office Administration
- Ensure smooth daily operations and administrative workflow within the CEO's office.
- Manage the office budget, expenses, and relationships with vendors.
- Maintain confidential files and documents according to company policies and data governance.
- Plan and coordinate executive events, board visits, offsite meetings, and official functions.
- Supervise administrative and support personnel in the CEO’s office as needed.
Communication and Stakeholder Relations
- Coordinate with senior leadership, Board members, government agencies, and external partners on behalf of the CEO.
- Handle sensitive and confidential information discreetly and professionally.
- Prepare and review formal communications ensuring they align with corporate tone, branding, and governance.
- Oversee cross-departmental projects and initiatives for the CEO, tracking progress and identifying potential risks.
Qualifications and Experience
- Possess 3 to 5 years of proven experience as an Executive Secretary, Executive Assistant, or related role supporting senior leadership.
- Hold a Bachelor's degree in Business Administration, Management, or a related discipline.
- Exhibit strong proficiency in English communication and professional business writing.
- Demonstrate excellent organizational abilities, effective communication, and a high level of confidentiality.
