About the Role
Simply Social is a dynamic, rapidly expanding social-first agency with a team of 50 across Dublin and London. We seek an organised, proactive, and people-oriented Office Manager to oversee the smooth operation of our Dublin headquarters and aid our expanding team with daily operational tasks and HR administration.
This position suits someone who enjoys diverse responsibilities, takes initiative, and acts as the central point ensuring seamless office and team experiences.
Key Responsibilities
- Oversee day-to-day office management including supplies, meeting room coordination, kitchen upkeep, utilities, and maintenance of the Dublin office.
- Serve as the primary liaison with suppliers, landlords, and various service providers.
- Ensure compliance with current health & safety standards and office policies.
- Assist in onboarding new employees by managing contracts, workstations, IT setup, and induction scheduling.
- Maintain precise staff records covering leaves, sick days, and overtime/TOIL.
- Support recruitment activities such as posting job openings, arranging interviews, and communicating with candidates.
- Coordinate employee training and development initiatives.
- Act as a first point of contact for employee inquiries, escalating when appropriate.
- Enhance internal communications, organise team socials, and promote wellbeing initiatives to nurture company culture.
- Record financial transactions into accounting software.
- Contribute to monthly financial reporting by assisting with Xero bank reconciliations for the CFO.
- Manage accounts payable on an ad-hoc basis beyond standard payment cycles.
- Handle payroll-related tasks including employee and ERR expenses; provide monthly updates to the CFO regarding absences, new hires, and departures.
- Assist the CEO by compiling expense receipts for reconciliation within Xero.
- Prepare and issue media sales invoices in Xero based on reports, liaising with clients to obtain purchase orders.
- Maintain business compliance by organising records and assisting the CFO as needed.
- Manage contracts, subscriptions, and renewal schedules for the company.
- Provide diary and travel coordination support for senior leadership as necessary.
- Help organise client visits, pitches, and workshops conducted at the office.
Qualifications and Experience
- Previous experience in office management, HR administration, accounting, or personnel-focused roles; agency or creative sector experience is advantageous.
- Exceptional organisational skills, keen attention to detail, and ability to handle multiple priorities effectively.
- Strong interpersonal communication skills; approachable, dependable, and focused on solutions.
- Knowledge of Irish HR processes and employment regulations.
- Comfortable using Google Workspace, Slack, and HR management systems.
- Proactive mindset with adaptability to identify and resolve issues promptly.
