About the Role
OMD New Zealand in Auckland CBD is seeking a proactive and people-oriented Front of House & Office Coordinator for a fixed-term contract until March 2027. This role involves serving as the agency's welcoming face and ensuring smooth office operations behind the scenes.
Key Responsibilities
- Provide a friendly and professional welcome to clients, visitors, employees, and candidates.
- Manage reception functions including incoming calls, emails, visitor sign-ins, parking, and security protocols.
- Organize meeting rooms and coordinate meetings, catering, and audio-visual technology needs.
- Maintain cleanliness and stock of office, kitchen, reception, and shared spaces.
- Oversee office supplies, stationery, merchandise, equipment upkeep, and relationships with suppliers.
- Support travel arrangements, meeting preparations, note-taking, and general administrative tasks.
- Assist senior leadership and the Executive Assistant with daily operational and administrative duties.
- Handle couriers, deliveries, internal communications, staff directories, seating plans, and office policies.
- Plan and manage agency events, conferences, celebrations, and client functions from inception to execution.
- Contribute to wellbeing, culture, inclusion, and employee engagement programs.
- Collaborate with vendors and stakeholders to ensure smooth workplace and event experiences while tracking budgets.
Candidate Profile
Ideal candidates either have experience in office coordination or administration or come from customer-facing roles such as hospitality, retail, or events where organizational skills and service excellence are essential.
- Prior experience in front of house, administration, office coordination, hospitality, retail, or events.
- Strong communication and relationship-building capabilities.
- Professional, friendly, and approachable demeanor.
- Excellent organizational skills with great attention to detail.
- Adept at multitasking in dynamic environments.
- Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Proactive mindset and willingness to actively contribute.
- Ability to handle confidential information with discretion.
- Confident independent worker who collaborates well with diverse teams.
