Role Summary
The Client Relations and Experience Coordinator acts as the first contact for potential guests, handling initial inquiries, qualifying them, and then collaborating with the Sales team. The role extends to managing all communication, logistics, transportation, excursions, and guest requests throughout the stay, ensuring a flawless and customized guest experience by working closely with Sales and Operations.
Key Responsibilities
- Respond promptly and personally to booking inquiries for Thuwal Private Retreat, gathering detailed client needs.
- Assess and qualify prospective guests based on preferences, stay purpose, dates, group size, budget, and experience desires.
- Provide detailed information about the retreat, accommodation, and services to create positive initial impressions.
- Precisely document client information and inquiries for effective handover to Sales.
- Work closely with Sales to ensure smooth transition from inquiry to booking management.
- Coordinate all guest communication and logistical arrangements, including transportation and excursions, throughout the guest journey.
- Collect and maintain confidential guest details including travel info, preferences, dietary needs, special occasions, and activity plans, ensuring accuracy.
- Arrange airport, marina, and island transfers seamlessly before arrival, during the stay, and at departure.
- Personally welcome guests on arrival and departure, and provide assistance throughout their stay when required.
- Monitor guest experiences in real-time, proactively managing any changes or special requests.
- Conduct pre-arrival and in-stay check-ins to confirm plans and enhance guest satisfaction.
- Ensure smooth communication and handover of guest data between sales, reservations, and operations teams.
- Create personalized itineraries including accommodations, activities, dining, and special events tailored to each guest’s preferences.
- Recommend and organize excursions, spa treatments, recreational activities, and unique experiences to enrich guest stays.
- Develop customized dining programs reflecting guest preferences and any specific requests.
- Coordinate special events such as birthdays, weddings, engagements, themed dining, and corporate retreats on the island.
- Collaborate with vendors and internal teams to guarantee flawless event execution, delivering outstanding experiences.
- Communicate detailed event plans to operations via Banquet Event Orders and group summaries.
- Oversee the meticulous execution of each guest booking with high attention to detail to ensure luxurious, memorable experiences.
- Track sales development activities including outreach, networking, follow-ups, and potential leads.
- Report regularly to management on booking trends, guest feedback, and community engagement.
- Collect and analyze guest feedback to continually improve services and implement initiatives that boost guest satisfaction.
Required Qualifications
- Preferred college or university graduate.
- Proactive, dynamic individual passionate about luxury hospitality and creating memorable experiences.
- Excellent interpersonal and communication skills for building relationships with affluent guests and partners.
- Strong organizational capability to juggle multiple reservations and projects.
- Effective problem-solving skills to address guest issues.
- Detail-oriented with a focus on delivering personalized, outstanding service.
- Good knowledge of services offered to provide accurate guest guidance.
- Fluent in Arabic and English (reading, writing, speaking).
- Proficient with computer systems and software, including Microsoft Office and Opera Sales System or comparable platforms.
- Professional telephone etiquette and ability to communicate with customers and management at all levels.
- Capable of working well under pressure and managing multiple deadlines.
- Experience in sales and/or event coordination required.
- Team-oriented, cooperative, able to multitask, with a positive and professional demeanor.
