Job Summary
The Inbound Logistics Officer is tasked with managing import purchase orders in accordance with trade agreements and company policies, ensuring smooth communication with suppliers, and overseeing the customs clearance process for shipments arriving in Saudi Arabia.
Primary Responsibilities
- Prepare import purchase orders aligned with trade agreements and company import procedures, securing the necessary approvals.
- Notify import suppliers of purchase orders and confirm their receipt.
- Provide suppliers with required standards and documentation necessary for shipment.
- Obtain weekly updates from suppliers regarding the status of import shipments.
- Monitor shipments daily, updating the import status matrix for each purchase order.
- Distribute weekly updates on import purchase orders and shipment statuses to relevant departments and buyers.
- Ensure original shipping documents are received from suppliers prior to shipment arrival.
- Review and organize shipping documents to meet Saudi customs requirements.
- Submit all relevant shipping documents to the customs broker to facilitate clearance.
- Notify warehouse teams of incoming orders and shipping details before arrival.
- Determine accurate landed costs at the purchase order level, based on trade agreements and cost forecasts.
- Coordinate with warehouses to confirm receipt of shipments and inform relevant departments of system updates.
- Collect and communicate shortfall and damage reports to suppliers within 48 hours of warehouse receipt.
- Obtain supplier account statements before due dates and coordinate payment follow-ups with the accounting department.
- Share copies of payment transfers with suppliers, including all payment specifics.
- Compile monthly analyses and service-level reports covering import suppliers and shipment performance.
Qualifications and Skills
- At least 1 year of experience in FMCG retail operations.
- Strong communication skills both written and verbal.
- Proficient in computer applications, particularly Microsoft Excel and Word.
- High interpersonal skills for managing sensitive information and confidential documents.
- Fluency in English is required.
