Overview

We are seeking an experienced HR Manager to lead comprehensive human resources operations in our Nairobi office. This role involves managing the entire employee lifecycle, ensuring compliance with labor laws, optimizing HR policies, and fostering a productive and engaged workforce.

Key Responsibilities

  • Manage complete recruitment lifecycle from job posting to onboarding, adhering strictly to HR policies and compliance standards.
  • Review, develop, and update HR policies consistent with legal mandates and corporate values.
  • Implement HR policies effectively via communications such as memos and by arranging relevant employee training sessions.
  • Oversee attendance records, leave management, and shift scheduling accurately using HRMS platforms.
  • Collaborate with leadership and departmental heads to continuously assess HR needs, disciplinary matters, and staffing requirements.
  • Handle employee grievances transparently, mediate workplace disputes, and maintain positive relations including union interactions.
  • Engage proactively with labor unions, participate in wage negotiations, and ensure compliance with collective bargaining agreements.
  • Facilitate clear communication flows between management and staff regarding policy updates, organizational news, and changes.
  • Guarantee compliance with labor laws, factory regulations, minimum wage statutes, and contract labor norms, including forming disciplinary committees and maintaining accurate disciplinary records.
  • Design and implement a calendar of mandatory regulatory trainings and lead succession planning initiatives to cultivate critical leadership talent.
  • Coordinate with managers to define KPIs, monitor performance through productivity reports, and supervise objective appraisal and reward systems.
  • Prepare bi-weekly payroll input reports covering various payroll components and ensure documentation transparency for payroll processing.
  • Submit monthly payroll reports featuring statutory compliances and variance analyses.
  • Maintain full compliance with Occupational Safety and Health Act (OSHA) standards by keeping detailed records, organizing safety training, emergency preparedness drills, and submitting required reports to authorities.
  • Oversee timely renewal of all regulatory licenses and certificates, maintain physical and digital record-keeping for management access.
  • Serve as a single point of contact for all audits related to regulatory, licensing, certification, and OSHA compliance, conducting internal audits, and implementing corrective actions.
  • Manage relationships with external vendors such as security, housekeeping, and contract labor, ensuring service quality and compliance through performance reviews.
  • Provide daily and weekly operational HR reports to senior management, including consolidated monthly reports presenting key metrics and insights.

Requirements

  • Demonstrated experience managing full-spectrum HR functions, encompassing recruitment, payroll, and employee relations.
  • Thorough understanding of labor legislation, factory codes, OSHA mandates, and experience with collective bargaining.
  • Proven expertise in crafting and enforcing HR policies aligned with legal frameworks and company culture.
  • Strong command of HRMS systems for attendance tracking, payroll processing, and comprehensive reporting.
  • Background conducting internal audits, managing vendor partnerships, and negotiating with unions.
  • Exceptional communication abilities, adept at conflict resolution and facilitating effective communication across business levels.
  • Proven ability to develop training programs, succession strategies, and performance management frameworks that enhance productivity.
  • Meticulous and trustworthy professional with acute attention to compliance and confidential employee data management.
