Job Responsibilities
- Arrange accommodation for all new employees based on entitlement as directed by the Director of People & Culture.
- Maintain accurate, updated records of staff accommodation, including room assignments, occupancy status, vacancies, employee locations, and furniture inventory per unit.
- Supervise external service providers such as cleaners, security personnel, contractors within the staff housing premises.
- Receive and resolve employee complaints or concerns regarding accommodation, including maintenance issues, and coordinate timely follow-up with appropriate departments.
- Manage colleague welfare issues related to accommodations, room conditions, and privacy considerations.
- Ensure accommodation records reflect current occupied and vacant spaces clearly.
- Immediately report any incidents occurring in staff housing to the People & Culture Department.
- Update inventory lists for each apartment, obtaining occupant signatures on these documents.
- Complete check-out and clearance procedures for employees who depart the hotel or move out of staff housing.
- Maintain cleanliness and upkeep of shared accommodation areas, such as roofs, pump rooms, and other common spaces, adhering to hotel management standards.
- Keep current records and renewal documents of all leases pertaining to staff accommodations.
- Ensure water and electricity clearances for vacated apartments and manage arrangements for newly rented apartments.
- Coordinate installation and disconnection of telephone services for staff apartments during occupancy changes.
- Monitor and manage lease agreement expirations and renewals timely.
- Work with the Security Manager to maintain and inspect fire and safety equipment within staff housing regularly.
- Arrange return of furniture, bedding, and hotel assets upon employee separation or accommodation move-out, completing proper documentation.
- Conduct monthly inspections of staff accommodations in collaboration with Security and People & Culture leadership.
- Provide warm welcomes and prepare welcome amenities for all new joiners in line with hotel standards.
- Coordinate transportation pickups for new employees and drop-offs for departing employees as required.
- Submit regular accommodation occupancy and related reports to the Director or Manager of People & Culture promptly.
