Role Overview

The Guest Relations Officer serves as the initial point of contact for visitors at the automotive showroom, responsible for providing a distinguished welcome and ensuring efficient handling of every visitor throughout the sales journey. This role significantly influences brand perception by upholding exceptional hospitality standards, managing customer flow, capturing precise lead information, and coordinating with sales executives to maximize lead conversion and customer satisfaction, in line with manufacturer and dealership expectations.

Key Duties and Responsibilities

  • Greet all walk-in guests with professionalism, accurately assessing their requirements, and promptly connecting them with the appropriate sales representative.
  • Deliver a high-quality hospitality experience, including offering refreshments, managing lounge areas, and prioritizing VIP guests.
  • Maintain impeccable personal appearance and customer interaction consistent with brand guidelines.
  • Ensure customer experiences remain warm, professional, and consistent at all times.
  • Gather comprehensive and precise visitor details such as contact info, preferences, and visit purposes using CRM and Dealer Management Systems.
  • Assign walk-in leads based on showroom procedures to guarantee equitable distribution and timely follow-ups.
  • Monitor sales team responsiveness and escalate any delays or neglected follow-ups to sales supervisors.
  • Prevent any loss of potential customers by strictly managing effective lead capture and tracking.
  • Perform daily inspections of the showroom including vehicle cleanliness, price tags, marketing collateral, and demonstration readiness.
  • Upkeep reception, customer lounges, and waiting areas to meet manufacturer and dealership presentation standards.
  • Liaise with marketing and sales departments to prepare the showroom for campaigns, promotions, and special events.
  • Support brand visibility and compliance in all customer-facing spaces.
  • Engage with customers during and post-visit to collect feedback concerning their showroom experience.
  • Conduct exit interviews with visitors who do not convert to understand reasons and share insights with the sales team.
  • Professionally address initial customer inquiries, concerns, and minor complaints, escalating to higher management when necessary.
  • Assist in initiatives aimed at improving customer satisfaction, including Net Promoter Score (NPS) and Customer Satisfaction Value (CSV) programs.
  • Compile daily reports covering visitor traffic, lead management, conversion data, and customer trends.
  • Coordinate customer appointments, test drives, and corporate visits alongside the sales team.
  • Support manufacturer-driven mystery shopper programs, showroom audits, and event execution activities.
  • Maintain accurate records within CRM and DMS platforms.

Qualifications and Experience

  • Diploma or Bachelor’s degree in Hospitality, Business Administration, Marketing, or a related area.
  • One to two years of experience in roles such as front desk, hospitality, upscale retail, aviation, or customer experience is required.
  • Previous service in an automotive showroom or dealership is advantageous.
  • Experience in servicing premium clientele with high standards is preferred.

Technical Knowledge and Skills

  • Proficient in utilizing Customer Relationship Management (CRM) and Dealer Management Systems (DMS) for guest registration and lead tracking.
  • Strong skills in Microsoft Office applications and appointment scheduling software.
  • Knowledge of Original Equipment Manufacturer (OEM) corporate identity standards and showroom display requirements.
  • Capability to accurately handle customer data and reporting tasks.
