Job Overview
The Front Office Executive acts as the initial point of communication for guests, delivering outstanding service and ensuring seamless processes for check-in, stay, and check-out experiences. This position is responsible for managing front desk functions, responding to guest inquiries and bookings, coordinating with other departments, and maintaining the hospitality standards of the resort to guarantee guest satisfaction.
Primary Responsibilities
- Cordially welcome guests and manage the check-in and check-out processes.
- Provide comprehensive information regarding the resort’s amenities, services, and event schedules.
- Address guest questions, requests, and complaints swiftly and professionally.
- Maintain a polite, friendly, and supportive attitude throughout interactions to assure positive guest experiences.
- Collaborate with housekeeping, maintenance, and food and beverage teams to promptly meet guest requirements.
- Efficiently handle telephone calls, emails, and online reservation systems.
- Keep guest records, billing details, and payment transactions accurate using the property management software.
- Prepare and update reports on occupancy, guest lists, and daily activities.
- Manage room assignments, monitor availability, and handle overbooking issues according to resort policy.
- Support front desk operations by managing supplies and ensuring smooth daily functioning.
- Accurately record and communicate messages to appropriate departments or personnel.
- Assist sales and events teams by providing client or guest information when needed.
- Maintain a tidy, organized, and welcoming lobby and reception environment.
Qualifications and Experience
- Bachelor’s degree or diploma in Hospitality Management, Business Administration, or a related discipline.
- Between 1 to 3 years of experience in front office duties or guest service roles within hotels, resorts, or event centers preferred.
- Familiarity with hotel management software platforms.
- Excellent verbal and interpersonal communication skills.
- Strong ability to multitask with great attention to detail.
- Professional appearance and grooming standards.
- Willingness to work flexible shifts, including weekends and holidays.
