Role Overview

The Facilities & Workplace Advisor will be part of our Perth Business Services team, offering high-quality facilities, records, and business centre services to partners, employees, and visitors. This permanent, full-time role requires a proactive, autonomous approach with sound judgment to manage daily office operations, anticipate needs, swiftly resolve issues, and act as a reliable contact for the firm's people.

Key Responsibilities

  • Serve as the primary facilities advisor for legal teams and staff, addressing daily facility and workplace inquiries, providing practical guidance, updating progress, and escalating issues as needed.
  • Organize and monitor contractor activities related to repairs and maintenance, ensuring timely and quality completion.
  • Manage office space including allocations, moves, locker assignments, and car parking.
  • Oversee workplace health and safety compliance, including inspections and maintenance of First Aid consumables.
  • Advise staff on records retention, archiving, and disposal according to company policies.
  • Manage destruction of approved records, retrieval of archived files, file movements, and respond to records-related queries promptly and accurately.
  • Produce in-house documents involving printing, binding, finishing, and collation to professional standards.
  • Coordinate and quality-check document production with third-party vendors.
  • Oversee mail and courier services, maintain stationery and consumable inventories, and process supplier invoices per company protocols.
  • Manage printer fleet, troubleshoot faults, and escalate issues when necessary.
  • Use ServiceNow and Outlook to track and resolve service requests efficiently.
  • Engage with AI tools and workflow automation by completing training and applying these technologies to improve work processes.
  • Identify and recommend improvements to existing operational processes and maintain accurate standard operating procedures (SOPs).
  • Support onboarding of new team members and collaborate effectively within the broader team.

Candidate Profile

  • Proven experience in facilities, records management, or business centre roles within corporate or professional service settings.
  • A self-driven and curious individual who anticipates challenges, follows through independently, and values high-quality outcomes and innovative problem-solving.
  • Ability to prioritize and handle workflow requests accurately and efficiently.
  • Excellent communication skills with confidence in stakeholder consultation and advising.
  • Proficiency in Microsoft Office with an openness to adopt digital and AI-assisted tools.
  • Exceptional attention to detail paired with excellent time management.
  • A cooperative team player willing to assist colleagues as needed.
  • Capability and willingness to perform physical and mobile tasks within the workplace environment.
