Job description
Overview
We are searching for a seasoned Facilities Management Specialist to direct and support safe, compliant, reliable, and cost-efficient facility operations across one or several sites in Qatar. The successful candidate will possess a comprehensive background in facilities operations, MEP systems, vendor management, and maintenance oversight, combined with a commitment to maintaining high standards of safety, quality, and customer satisfaction.
Key Duties
- Oversee and prioritize work orders, assign tasks, follow up to ensure timely completion, and maintain communication with stakeholders.
- Coordinate daily maintenance activities including HVAC, electrical, plumbing, fire and life safety systems, pumps, generators, UPS, and other relevant building systems.
- Plan and supervise the execution of preventive and corrective maintenance tasks to ensure facility reliability.
- Maintain detailed maintenance records, service reports, asset registers, checklists, and historical equipment documentation.
- Manage vendors and subcontractors, clarifying scopes, controlling site access, securing permits, supervising work quality, and ensuring punch-list resolution.
- Support procurement processes by handling service and material requests, sourcing quotations, technical clarifications, and managing purchase order workflows.
- Assist in contract administration including overseeing service deliverables, managing contract renewals, variations, and ensuring planned maintenance compliance.
- Conduct regular site inspections to identify technical risks and recurring issues, assign corrective measures, and monitor their closure.
- Maintain quality assurance and control documentation, such as inspection records, testing results, as-built drawings, asset registers, and operation and maintenance manuals.
- Support health, safety, security, and environment management system (QHSE/IMS) requirements including toolbox talks, permit-to-work adherence, risk control measures, and incident reporting.
- Assist in operational transitions including mobilization, demobilization, moves/adds/changes, site readiness, service activations, inventory checks, and closeouts.
- Monitor invoices, service completion certifications, expenditures, and budget variances diligently.
- Develop and maintain key performance indicator dashboards, work-order analytics, preventive maintenance compliance reports, vendor evaluations, issue logs, and action item trackers.
- Ensure that facility operations are conducted following applicable standards, contract requirements, organizational procedures, and regulatory compliance.
Qualifications & Experience
- Bachelor’s degree in Facilities Management, Engineering, Building Services, or a related discipline.
- At least 10 years of pertinent experience in facilities management, maintenance, MEP systems, or property management.
- Mandatory certifications include NEBOSH and IOSH.
- Additional certifications such as IFMA FMP/CFM or BOMI are advantageous.
- In-depth technical knowledge of HVAC, electrical, plumbing, fire & life safety, and building maintenance systems.
- Practical experience with computerized maintenance management systems (CMMS) and work order management tools.
- Demonstrated competence in managing vendors, procurement, invoice processing, budget tracking, and KPI reporting.
- Experience administering facilities management operations across multiple sites.
- Exposure to projects involving MEP, fit-outs, EPC, refurbishments, or building handovers.
- Strong familiarity with QA/QC documentation, asset registers, as-built drawings, operation and maintenance manuals, inspection reports, and audit-ready documentation.
- Excellent organizational, communication, coordination, and stakeholder management skills.
- Ability to handle competing priorities and promptly address operational and technical challenges in dynamic environments.
