Role Overview
The Facilities Coordinator within CBRE collaborates with clients, vendors, and contractors to ensure the completion of facility tasks and work orders. Positioned in the Facilities Management area, the role supports Property Managers by managing repairs and investment planning for property assets.
Key Responsibilities
- Coordinate with landlords, tenants, and service providers to ensure all procedures, policies, and reporting guidelines are followed.
- Respond to client inquiries and manage collection of work orders.
- Gather and report on performance and progress data.
- Serve as the main contact between client stakeholders, landlords, vendors, and service providers to facilitate efficient delivery of workplace and facility services.
- Oversee company fleet and pool vehicle usage, handling reservations, monitoring utilization, reporting, and liaising with vendors.
- Maintain organized records of work orders, proposals, and vendor submissions.
- Supervise external activities such as waste disposal and recycling processes outside the facility.
- Support workplace endeavors and office moves, including planning moves, managing furniture, coordinating vendors, setting up workplaces, and communicating with stakeholders.
- Provide facility coordination assistance for other remote office locations as necessary.
- Comply with instructions, brief communications, and seek clarification when needed.
- Handle common client, coworker, and supervisor questions or complaints.
- Solve routine problems by following existing procedures, with limited discretion.
- Follow clearly defined duties and methods under supervision.
- Independently juggle various facilities priorities while maintaining excellent customer service and operational quality.
Required Qualifications and Skills
- Completion of High School Diploma or GED with up to two years of relevant work experience.
- Competency in adhering to basic work routines and standards.
- Effective communication skills for straightforward information exchange.
- Experience managing coordination among multiple vendors, contractors, and stakeholders in corporate environments.
- Strong problem-solving and conflict resolution capabilities to respond proficiently to employee and stakeholder needs.
- Valued experience in supporting office relocations, workplace projects, or transformation initiatives.
- Proficiency with Microsoft Office applications including Word, Excel, and Outlook.
- Excellent organizational skills paired with a curious mindset.
- Basic mathematical ability to calculate percentages, discounts, and markups.
