Overview
The Executive Secretary plays a pivotal role providing top-tier, confidential administrative and secretarial assistance to the Chief Operating Officer at Daikan Hospitality Group. This position ensures optimal management of the COO's schedule, priorities, and information, acting as a trusted point of contact and gatekeeper.
Key Responsibilities
- Efficiently manage the COO's calendar, prioritize engagements, resolve scheduling conflicts, and coordinate with executives and department leads.
- Compose correspondence, prepare detailed reports and presentations, maintain confidential documentation, and monitor action items.
- Organize leadership meetings including agenda preparation, minute-taking, and following up on outcomes.
- Handle travel arrangements involving domestic and international trips, visa processing, accommodation, itineraries, and expense reconciliation.
- Serve as the primary liaison for the COO, managing stakeholder communications and safeguarding sensitive information with utmost discretion.
- Oversee daily executive office administration, collaborate with Executive Assistants, support events and offsite meetings, and manage special projects as required.
Requirements
- Bachelor's degree in Business Administration or a related discipline preferred.
- A minimum of five years’ experience supporting C-level or senior leaders, preferably within the hospitality sector or a dynamic, multi-site business environment.
- Fluent English communication skills, both written and verbal; Arabic language proficiency is advantageous.
- Advanced knowledge of Microsoft Office suite, including Outlook, Word, Excel, and PowerPoint.
- Outstanding organizational abilities with meticulous attention to detail and follow-through.
- High ethical standards with the ability to maintain confidentiality and exercise discretion.
- Strong interpersonal and communication capabilities, comfortable engaging with senior leadership and external stakeholders.
- Demonstrated aptitude for multitasking, prioritizing, and maintaining composure under pressure and tight deadlines.
- Professional appearance and demeanor with polished presentation skills.
- Willingness to work extended hours aligned with the COO’s schedule and organizational requirements.
