Job description
Role Overview
The Executive Personal Assistant will offer extensive support to C-suite executives by managing various administrative and personal tasks. Key duties include scheduling, coordination of meetings and travels, project management, and handling confidential information while ensuring high-quality service for all stakeholders involved.
Key Responsibilities
- Efficiently manage the executive’s calendar, appointments, meetings, and travel plans.
- Handle communications such as phone calls, emails, and official correspondences on behalf of the executive, ensuring prompt responses and appropriate follow-up.
- Prepare and organize reports, presentations, and necessary documents for meetings.
- Support the execution and documentation of executive meetings, including minute taking and action item tracking.
- Plan and coordinate comprehensive travel arrangements, including flights, accommodation, and local transportation tailored to the executive’s preferences and business requirements.
- Provide ongoing support for travel logistics and problem resolution during trips.
- Assist in project oversight by monitoring progress, coordinating resources, maintaining timelines, and ensuring deadlines are achieved.
- Facilitate interdepartmental collaboration to ensure streamlined processes and task completion.
- Perform personal support functions such as arranging personal appointments, travel, and managing family-related engagements.
- Administer personal financial tasks, including reimbursement processing and expense report preparation.
- Maintain utmost confidentiality concerning sensitive business and personal matters, demonstrating discretion and professionalism in all interactions.
- Serve as the primary liaison between the executive and external clients, stakeholders, and partners, fostering positive relationships.
- Assist in creating client materials and presentations aligned with executive standards.
- Carry out additional duties as assigned to ensure seamless daily operations.

Qualifications and Experience
- At least 5 years of experience in a Personal Assistant or Executive Assistant role, preferably supporting C-suite executives.
- Prior exposure to working closely with executive management teams.
- Bachelor’s degree in Business Administration, Management, or a related discipline is preferred.
